The purpose of this position is to provide general administrative support for senior leadership for Integrated Document Solutions (IDS) . The duties will involve a variety of clerical functions that will span answering phones when needed, helping to schedule meetings, taking notes in meetings as well as some basic research as needed for projects or reports. In addition to the general administrative support, the position will also provide support for the accounts receivable and accounts payable team as needed while also providing support function for the departments' accounting team as it relates to IDS Denver business needs.
Essential Duties & Responsibilities 
  • IDS Administrative Support - This position will provide general administrative support to the senior leadership of IDS. This support will include but not be limited to setting up and coordinating meetings and conferences for IDS Northern Managers, and scribing notes for those meetings. May be asked to answer telephones for IDS Managers and field calls when team members are unavailable. The position will help coordinate and maintain records for office staff to include data reporting and general research on business items. Support IDS staff in assigned project based work. Provide back up for the Account Management team in phone support when staff are not available. Support and assist the IDS AP/AR team with filing and data entry functions during busy periods. This will also include filing both hard copy and digital formats. 
  • Customer Billing/IDS Accountant Support - Receives customer CORE bill code information and change requests, and enters information into the CORE and IDS MIS systems. This position assists in setting standards for production supervisors, lead workers and customer service team to assure all billing information is accurate. Position will be required to provide assistance to the IDS/DPA accounting teams to ensure work is processed in a timely and accurate manor. The position must have knowledge of rates set by management. Provide customer support in all areas of the billing unit. Verifies accuracy of information prior to billing. The position will assist with PCard transactions working with IDS Staff to secure operating supplies and other PCard transactions, assuring proper documentation and transactions are allocated from the correct units or split between multiple IDS Organizational units. Provide assistance in processing transactions timely within each period assuring closing deadlines and transactions are recorded in the correct accounting period. Assist in balancing invoices to the billed amount and upload into CORE for payments.
  • Accounts Payable/Receivable - Enters the proper accounting coding and funding into internal billing system and uploads to CORE. Reconciles invoices not automatically reconciled between IDS MIS and CORE. Will assist in cross-referencing vendor invoices against services rendered, matching invoices to the credit card statement or encumbrance. Identifies department chargeback allocating expense to the person or department responsible for the expense. May be required to work with vendors to resolve invoice discrepancies, reconciling invoices to projected expenditures. Monitors the IDS upload into CORE assuring accurate transactions will be properly credited. Will be cross trained in the various administrative support positions, which include Accounts Payable/Receivable, SOPE, Production and all other units within IDS.

MINIMUM QUALIFICATIONS:
*Education and Experience:
At least two years of experience in a clerical, data entry role that includes accounts receivable or accounts payable OR appropriate education will substitute for the required experience on a year-for-year basis.

The exceptional candidate will possess the proven ability or accomplishment in the following preferred qualifications:
  • Previous State Service related to the work assigned to the position
  • Experience with CORE
  • Excellent communication and customer service skills
  • Experience working in a call center or answering multi-line phones

Conditions of Employment:

  • A pre-employment criminal background check will be conducted as part of the selection process.
