The Colorado Department of Early Childhood (CDEC) ensures the delivery of a comprehensive, community-informed, data-driven, high-quality and equitable early childhood system that supports the care, education and well-being of all Colorado's young children, their families and early childhood professionals in all settings.
Executive Director's Office
The Executive Director's Office (EDO) supports the Executive Director (ED) in the day-to-day management of operations for the Department. The work unit provides administrative support for the ED and manages and coordinates the ED's daily schedule. The unit is responsible for ensuring that the ED is able to focus on critical duties and functions and is appropriately prepared for travel, official functions, and internal and external meetings.

Description of Job

What you’ll be doing:
This position exists to provide support to the Executive Director (ED), assisting with implementing the ED's goals, objectives, and decisions including, but not limited to:
  • managing incoming and outgoing information requests for the ED which often contain confidential information and as such, requires discretion, prioritization, diplomacy and sound judgment;
  • developing, implementing and communicating internal policy and procedures that affect the entire Department;
  • managing the flow of communication and information between the Executive Director's Office (EDO) and the Governor's Office, the Legislature, and other state agencies and institutions;
  • ensuring that matters concerning the office are efficiently and effectively brought to the ED or members of the Leadership Team for attention and/or action;
  • acting as the point of contact for all executive-level meetings;
  • coordination of logistics for Leadership Team meetings/retreats and all Supervisors Meetings;
  • producing and editing correspondence, reports and other documentation, often synthesizing complex varieties of information;
  • managing and coordinating projects on behalf of the ED;
  • receiving visitors and scheduling appointments, meetings and appearances for ED;
  • coordinating scheduling matters between HCPF Senior Staff, Governor's office, elected officials, other agencies and partners/stakeholders;
  • making travel arrangements for ED;
  • preparing materials for ED in advance of scheduled meetings; initiating conference calls;
  • responding to general inquiries on behalf of the office and ED;
  • acting as a role model for open communication and values-based culture;
  • working in conjunction with the division directors, implementing and evaluating the effectiveness of customer service within the Executive Director's Office.

Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights

inimum Qualifications:

Bachelor's degree from an accredited institution in a field of study related to Human Services, Social Services, Early Childhood Education, or a closely related field.

AND

Two years of professional experience in an occupational field related to the work assigned to the position, to include:

  • A minimum of two years of experience serving as an assistant or programmatic support to a high-level public or private official; or executive.

Substitutions:
  • Additional appropriate experience will substitute for the degree requirement on a year-for-year basis.
  • Additional appropriate education will substitute for the required experience on a year-for-year basis.
Preferred Qualifications
  • Discretion in maintaining sensitive or confidential information
  • Ability to prioritize multiple competing priorities
  • Experience in event and meeting coordination
  • Strong oral and written communication skills
  • Advanced skills in Microsoft Office and Google
  • Exceptional organizational skills
  • Experience working in a professional setting that included interfacing with internal and external high-level executives
  • Prior state experience relevant to the position
  • Bilingual English/Spanish
  • Ability to communicate and work with people of diverse backgrounds
Highly Desirable Competencies
  • Proven ability to be self-directed and work independently and confidentially with sensitive and protected information
  • Experience working in a high stress, fast-paced demanding environment
  • Experience in maintaining and updating web content
  • Professional appearance and demeanor with a strong customer service focus
CONDITIONS OF EMPLOYMENT
  • Applicants must pass a thorough background check prior to employment.
  • Local in-state travel is required and occasional national travel, as needed to support the Executive Director.
  • Employees who have been disciplinary terminated, resigned in lieu of disciplinary termination, or negotiated their termination from the State of Colorado must disclose this information on the application.
