WHAT YOU WILL BE DOING: This is one of four Office Assistant 2 positions in the Records and Licensing unit which provides clerical services in administrative, informative, and programmatic functions following established procedures, precedents, and policies. This is a dynamic and fast paced environment that requires the incumbent to prioritize and multitask efficiently. The primary duties include assisting the public, data entry pertaining to State of Alaska criminal background check requests and dissemination of that information to the appropriate parties and staffing the Department of Public Safety Headquarters' main reception area and phones.

OUR ORGANIZATION, MISSION, AND CULTURE: The work completed by this position supports the mission of the Division to provide technical and specialized services to the Department of Public Safety. The Records and Licensing unit's primary focus is ensuring organizations and private citizens receive timely responses to criminal background check and licensing requests and works with multiple units within the Division to achieve the mission of the Department to ensure public safety.

THE WORKING CONDITIONS YOU CAN EXPECT: This position is located in Anchorage in the Department of Public Safety's Headquarters building located at 5700 East Tudor Road. Office space consists of individual workstations in an open area to encourage collaborative efforts, and shared workstations located at the front desk to work directly with the public. The team alternates staffing the front desk on a rotational basis. The office area is shared with three other Office Assistants, an Administrative Assistant who is the team lead, and the Records and Licensing Supervisor. The Chugach Mountains provide the backdrop for the building and ample parking is available; public transportation drop points are located directly in front of the building and paved trails are located right next to the building.

WHO WE ARE LOOKING FOR: To succeed in this position, the incumbent will demonstrate the following:
  • Clerical: Applies knowledge of knowledge of filing, typing, entering data, maintaining records, and using office equipment and software, processes, techniques, and establish standards to complete routine office work. Uses skills and abilities to complete tasks consisting of many different and connected parts, including deciding which processes to use.
  • Computer Skills: Uses computers, software applications, databases, and automated systems to accomplish work.
  • Customer Service: Interacts with recipients of services (internal or external customers) in a way that provides accurate, timely, and effective information and service in a courteous and professional manner.
  • Self-Management: Sets well-defined and realistic goals; displays a high level of initiative, effort, and commitment towards completing assignments in a timely manner, and is motivated to achieve.
  • Attention to Detail: Is thorough when performing work and conscientious about producing consistently accurate work.

Minimum Qualifications

High school diploma or the equivalent.
AND
One year of experience that includes clerical tasks such as greeting clients, answering phones, typing, filing, sorting mail, entering data, receiving payments, making change, or maintaining logs.
Substitution:
Education from an accredited college may substitute for the required experience (3 semester hours or 4 quarter hours equal one month of experience; 150 hours of vocation education equal one month of experience).
Special Note:
"High school diploma equivalent" means one of the following: 1) a G.E.D.; 2) completion of any basic adult education course equivalent to 480 class hours (16 weeks at 30 course hours per week); 3) acceptance in full standing by an accredited college or university; 4) highest grade of school completed plus an amount of paid or volunteer experience that totals 12 years and includes basic clerical tasks such as greeting clients, answering phones, typing, filing, sorting mail, entering data, receiving payments, making change, or maintaining logs.
Some positions in this class may require the incumbent to operate motor vehicles. Such positions require that the applicant possess a regular driver's license and be 18 years of age or older.
Some position in this class may require skill in typing. Recruitment and selection may include this requirement.

ALASKA PUBLIC SAFETY INFORMATION NETWORK
This position requires the use of the Alaska Public Safety Information Network (APSIN). A security clearance issued by the Department of Public Safety (DPS) is necessary to use APSIN. DPS will deny security clearance for any applicant who has been convicted of a felony or misdemeanor in this state or another jurisdiction, or who may be a fugitive from justice. Additionally, a security clearance will be withdrawn if DPS discovers that material information was falsified or omitted at the time of the initial application or security clearance.
BACKGROUND CHECK
This position requires the incumbent to submit to a fingerprint based criminal history background check. Due to the sensitive nature of this position, and required access to APSIN, an applicant with criminal convictions will not move forward in the selection process.
