STCC seeks a Staff Assistant to provide high-level administrative support to the Assistant Vice President of Student Initiatives and Interim Chief Equity Officer (AVP/CEqO) and the Division of Student Affairs. This position works closely with the AVP/CEqO on large-scale projects, events and initiatives, including strategic planning. The Staff Assistant is responsible for providing administrative support including scheduling meetings, supporting the budget process, creating reports and presentations, and assisting as needed at various committee meetings. This position is also responsible for providing technical and administrative support to the Student Affairs Division.

The ideal candidate will have higher education administrative experience, the ability to work with executive, community, and government leaders, and proficiency with budgeting and reporting software. Responsibilities:

  • Provide high-level administrative support to the Assistant Vice President of Student Initiatives and Interim Chief Equity Officer (AVP/CEqO) and the Division of Student Affairs including but not limited to projects, events and large-scale initiatives including strategic planning, marketing plan implementation, and other priority projects.
  • Organize and manage events calendars, ChatNow and call/text campaigns within the Division of Student Affairs.
  • Collaborates regularly with key stakeholders involved in project/event planning within the Division of Student Affairs.
  • Supervise and train assigned part time clerical staff.
  • Handle sensitive matters with a high level of confidentiality and discretion, including working with protected populations, including but not limited to military affiliated, individuals with disabilities, Title IX, etc. as well as student conduct, debt appeals, etc.
  • Proactively manage the schedule of the AVP/CEqO. Handle travel arrangements and coordinate meetings as assigned.
  • Create and maintain all office files. Process data into case management systems, including but not limited to Ellucian Colleague and Maxient.
  • Prepare budget and financial materials as needed. Maintain procard records for AVP/CEqO and ensure that accounts are properly coded.
  • Order publications, track professional association memberships, and monitor division software subscriptions.
  • Provide administrative support to the Division of Student Affairs as assigned by the supervisor.
  • Participate in meetings and professional development activities, attend workshops and training sessions as required. Perform other duties and special projects as assigned in furtherance of the College mission and department goals.
Job Requirements:
  • Minimum of five (5) years' experience in executive level, office administrative support, ten (10) years preferred.
  • Experience with managing multiple tasks in a fast-paced deadline driven environment with strong organizational skills to manage logistics and project timetables.
  • High degree of professionalism, with a proven ability to handle highly confidential information with the utmost discretion.
  • Excellent oral, written communication and problem-solving skills.
  • Self-starter, highly organized and detail-oriented.
  • Customer and student-centered.
  • Exceptional MS Office skills.
  • Ability to work independently and part of a team, manage multiple projects and assignments, and exercise sound judgment.
  • Experience working with professionals in higher education, marketing, community organizations, or government relations, including working with diverse constituencies preferred.
  • Experience with teleconferencing software (Zoom, Google Meet, etc.).

Additional Information:

Salary: $68,000 - $75,000 per annum. Starting salary will be dependent upon qualifications and experience.
Benefits: Yes, full time position, 37.5 hours per week (Monday - Friday). Requires flexibility to work occasional evenings and/or weekends as needed, year round position.
