Position Summary:
While working relatively independently, the Executive Assistant provides ongoing project management resources and serves as the point of contact for the Office of the President. While reporting directly to the President, the Executive Assistant provides a broad range of complex administrative services to the President and the Vice President of Equity, Diversity, and Inclusion (VPEDI). Work is of a highly sensitive and confidential nature and requires a clear and unambiguous commitment to compliance as set forth by the University.
The Executive Assistant understands the unspoken needs and characteristics of the Office of the President and applies independent professional judgement beyond prescribed policies and procedures to carry out the University's mission. The position requires full awareness of the President's priorities, must maintain confidentiality at all times and demonstrate in-depth knowledge of university functions. The position takes initiative in organizing work assignments and determining the most effective means for maximizing the President and VPEDI's time.
Minimum Qualifications:
5 years demonstrated experience providing the full range of high level independent executive administrative support combined with proven skill to coordinate complex activities and use independent judgment to organize and prioritize a wide variety of duties and responsibilities. A Bachelors degree may be substituted for one year of required experience.
Thorough knowledge of modern equipment, office practices and procedures, business arithmetic, grammar, spelling and punctuation.
Thorough knowledge of principles and techniques of organization, administration and management, as well as, organizational structure, functions and activities.
Preferred Qualification :
Bachelors degree.
Professional experience in higher education, public sector management or campus-related enterprise utilizing a customer-oriented and service-centered attitude.
Experience with event planning and execution.
Experience supervising employees.
Knowledge of Banner FIS, Web Publisher and Raisers Edge (donor/alumni database).

Demonstrated Service Excellence:
o Teamwork. Demonstrated ability to work effectively as a team player; and coordinate several functions and determine the relative importance of each; ability to work with a high level of productivity and accuracy/attention to detail.
o Knowledge. Advanced computer skills and proficiency with a variety of computer applications including word-processing, spreadsheets, databases, online systems, social media platforms, internet as well as online calendaring and email. Demonstrated office operations or project management experience.
o Accountability. Demonstrated ability to interpret and consistently apply a wide variety of complex policies and procedures where specific guidelines may not always exist. Ability to work with frequent changes in policies and procedures, under pressure of deadlines in a fast-paced environment. Ability to manage stressful situations with tact and diplomacy and to use sound judgement and discretion, particularly as it relates to handling sensitive and/or confidential information.
o Quality Service. Excellent organizational and time management skills with the ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines. Demonstrated customer service experience requiring a very high level of diplomacy and professionalism to effectively handle a broad range of sensitive interpersonal situations.
Ability to interact effectively with senior leaders including anticipating needs, accommodating different work styles, and proactively reaching out for assistance. Apply a very high level of tact, diplomacy, professionalism, listening skills, proper phone etiquette and a sense of anticipation to analyze situations.
Excellent communication skills; ability to effectively communicate information in a clear and understandable manner, both verbally and in writing. Effectively present information and respond to questions from a variety of audiences groups of managers, customers, and the public.
Strong analytical and research skills. Ability to gather, evaluate, and to develop well-reasoned conclusions and recommendations. Experience with a wide range of office equipment, procedures and practices, including travel and budget. Ability to interpret, communicate and apply policies and procedures.
Demonstrated experience in the successful planning and execution of logistical details for high-level special events, which required an extensive degree of protocol and decorum.
Exceptional organizational and time management skills with the ability to take initiative and independently set own priorities and coordinate multiple assignments with fluctuating and time-sensitive deadlines.
Excellent computer skills and proficiency with a variety of computer applications including word-processing, spreadsheets, databases, presentation slides, on-line systems, online calendaring and email.
Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in and outside the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.
Ability to adapt to and work effectively in a heavily bureaucratic environment, which requires regular interaction with a number of levels within the organization and multiple outside agencies. Working knowledge, or ability to quickly learn, university infrastructure, policies and procedures.
Provides training and supervision to student employees, as appropriate.

Special Conditions
Must be willing to travel and attend training programs off-site for occasional professional development.
