Center School District is Hiring an Administrative Assistant- Accounts Payable Near Kansas City, MO

Employment Status: Full-Time FLSA Status: Non-Exempt Calendar: 240 Days Minimum Education Requirements: High School diploma or G.E.D. Department: Support Staff. Direct Supervisor: Director of Business Services (CFO) and Support Primary Work Location: Office setting Certification: None. Rate: Column L (Level 4) Job Summary: Perform a wide variety of clerical duties with a focus on accounts payable processes. Should work to create and maintain good relationships with students, parents, staff, community, and vendors. This position will receive necessary on-the-job training to help learn how to execute the role. Essential Job Functions An employee in this position may be called upon to do any or all of the following essential duties: Answer phone, receive messages, and respond to inquiries by staff, parents, or patrons of the district. Input data for recordkeeping in multiple software systems. Type and/or draft letters of correspondence. Assist other departments with reports from Keystone as needed. Review invoices for appropriate documentation prior to payment Perform invoice and general ledger data entry Execute credit card and bank account reconciliation Generate purchase orders when necessary Obtain W-9's and verify vendor remittance information prior to setting up vendors in the accounting software Assist in managing the internal and external audits, compiling information and reports under the instruction of the Director of Business Services Assist with Accounts Receivable functions - prepare bank deposits, record deposits, and enter all revenues in account software system Assist with managing the general ledger by entering all transaction into general ledger and balance all payroll taxes for the monthly roll Enter and update employee access to financial accounting software program Enter budget amendments and assist the Director of Business Services with budget records Assist the Director of Business Services with creating yearly budgets, maintain, and amend school district budgets Process invoices, track expenses, and produce expense reports Schedule and organize meetings or events, coordinate and set up supplies needed for meetings or events, take meeting minutes Type or prepare reports, compile data, and distribute information to parties both inside and outside of the district. Attend meetings and trainings as required Work overtime as directed Perform other duties as assigned Knowledge, Skills, and Abilities (KSA's) for Position An employee in this class must have the following knowledge, skills, and abilities upon application: Knowledge Administrative and clerical procedures and systems. Principles and processes for providing customer and personal services. District's functions and its relationships with local government and the community. Skills Strong computer skills with proficiency in Microsoft Office. Strong written and oral communications and relational skills. Operate a variety of office equipment, including computer, printer, calculator, and copier. Understanding of basic principles of finance, accounting, and bookkeeping Abilities Ability to maintain confidentiality Highly motivated with ability to multi-task effectively Communicate in a professional and polite manner Establish and maintain effective working relationships with students, staff, parents, community, and vendors Effectively welcome and embrace differences among employees and community members Lift up to 25 pounds Must be able to successfully complete a background investigation Must be able to work a flexible schedule as needed This position description is a general guideline for work behavior and is not intended to be a comprehensive listing of all job duties.
