Pay for Administrative Assistant:
Salary: $25.00 per hour

Required experiences for Administrative Assistant:

  • High School Diploma with a minimum of 3 years’ experience. Or an associates degree with a minimum of 1- year of experience.
  • Strong analytical and problem-solving skills.
  • Adept in procedural compliance.
  • Excellent verbal and written communication skills.
  • Have the ability to work individually or as part of a team.
  • Clean background with no outstanding or pending legal charges.
  • Ability to pass a drug and alcohol test at time of hire and at random.
  • Valid Driver’s License with no pending charges.
  • Non-US Citizen must hold current work visa or green card.

Essential functions for Administrative Assistant:*
The Administrative Assistant is responsible for handling project documentation and correspondence in support of one or more managers.
The Document Control Specialist is responsible for defining the scope and objectives of each package.
Responsibilities:

  • Read and analyze incoming memos, letters, and reports to determine their significance and distribute appropriately.
  • Create and maintain project information in project management automated system; create purchase requisitions, change orders and their respective attachments per Project Manager's request.
  • Correspond on routine inquiries with vendors at the beginning and throughout the duration of a project, fax or email correspondence to the field or other locations as needed.
  • Coordinate invoice routing and monitor payments to subcontractors and vendors.
  • Enter and maintain client and prospect data in automated system
  • Answer and direct phone calls or take messages for appropriate parties.
  • Preparing plans and specifications for pickup/shipment.
  • Perform general administrative duties such as but not limited to; filing, photocopying, taking and distributing meeting minutes, managing schedules, entering employee attendance into timekeeping database, scheduling appointments with internal and external parties, ordering supplies, sorting and distributing correspondence and maintaining database records.
  • Work with the Department Management in the evaluation of document control processes and procedures for project specific task.
  • Create generic Final Document Packages (FDP’s) including creating hard copy binders, and folders in companies electronic database.
  • Review and ensure consistency and standardization of all documents.
  • Assist management staff with the creation and implementation of forms and related processes.
  • Maintain Final Document Packages (FDP’s) status tracking log.
  • Educate and provide continuous support to improve the accuracy and efficiency of the document management process.
  • Manage the document process in companies electronic database, including administration of workflows related to creating, reviewing and revising the document packages.
  • Standardize document management ensuring accuracy, quality, and integrity.
  • Lead projects related to major updates/changes that impact documents and provide status updates as requested.
  • Implement and manage a periodic review process for organizational documents.
