General Summary:
The Business Office Manager is responsible for managing payroll, accounts payable, billing, and additional financial tasks. Duties involve a high degree of complexity due to the nature of bookkeeping, and all this entails. Duties performed under the supervision of the Administrator with established procedures and guidelines.
Responsibilities:
Process all bookkeeping accounts receivable and accounts payable
Prepare and execute Occupancy and Respite Agreements; collect, record and track rental deposits; calculate and collect rent and fees due
All payroll and reporting
Prepare reconciliation report of cash funds
Serve as liaison between residents and their financial services and healthcare providers as well as Social Security
Manage concierge staffing responsible for phones and greeting visitors
Handle clerical duties, which include heavy filing, incoming phone calls and messages, outgoing mail processing, and correspondence. Frequently transport mail, packages, and supplies between buildings and run occasional car errands
Perform other office and administrative duties as assigned by Administrator
Specific Skills:
Excellent interpersonal and problem-solving skills. Strong oral and written communication skills
In-depth knowledge of principles and practices of bookkeeping accounts receivable, and accounts payable
Ability to learn and master various software programs
Experience with Yardi, Alis, Paylocity, Ultimate or iCIMS a plus
Demonstrated proficiency with Excel and word processing programs
Remain organized, well prepared, set and meet deadlines, stay on task and avoid distractions.
High level of professionalism and ability to remain calm under pressure
Education or Experience:
High school diploma or equivalent required
Post-secondary education preferred
Demonstrated combination of experience and or training to perform accounting duties effectively and accurately
Two (2) years’ experience in the field preferred
Requirements:
Required to participate in Covid-19 testing as requested by administration, ownership or the State Regulatory Agencies.
Required to receive or provide documentation of the Covid-19 Vaccine, excluding religious or medical exemptions.
Required to receive the annual Flu vaccine, excluding religious or medical exemptions.
Physical Demands:
Ability to regularly walk, stand, bend, stoop or sit for extended periods
Ability to use office equipment requiring a high degree of dexterity, i.e. keyboarding
Work for sustained periods maintaining concentrated attention to detail and accuracy
Work for sustained periods at a computer station
Ability to communicate with various contacts via walkies, phones
Ability to work under pressure
