Reports to: Archivist Assistant
Job Summary: Provides secretarial and office assistance to the Archivist office.
Creates and maintains databases and data input that currently exist or will be transformed from paper to computer records.
Ability to learn the computer program PastPerfect for Photography and Museum Catalog search and retention.
Digitizes current hard copy materials such as the Museum Catalog, Sister card files and Sister photography using WordPerfect, Excel, and other word processing databases.
Assists in a monthly and quarterly fashion in setting up and monitoring historical/religious displays on the building grounds or in the local community under the direction of the Archives Office.
Assists in information searches as required on the internet and with Notre Dame Archives.
Acquaints oneself with PHJC History, Charisms of Saint Katharina, and current missions of the PHJCs.
Assists in providing information in a timely manner to persons making requests from the Archives via the PHJC website, phone calls, and personal requests.
Assists in maintaining PHJC Sister histories, missions, and places served for the purpose of internal and external requests.
Works monthly in the organization, dusting and spot cleaning of the Museum and Storage rooms.
Maintains and files hard copy materials as directed in the Archives Office.
Assists in the preparation of Archival materials to be categorized, boxed and sent to Notre Dame University from the various departments.
Educates oneself in the search processes for Notre Dame PHJC Archives and other search engines.
Maintains continued confidentiality regarding information as well as the security of the Archives Office, Museum and Storage rooms.
Honors and respects the items in the Museum and Storage rooms as they are personal memorabilia for the PHJCs.
SPECIFICATIONS:
Prior Education and Training:
High school education required with training and/or significant experience in secretarial responsibilities
Prior Work Experience/Skills Required:
Prior office experience required
Excellent computer skills required
Ability to relate to others on a frequent basis
Must possess excellent written and verbal communication skills
Ability and willingness to self-initiate and self-direct tasks
Ability to maintain confidentiality
On-the-Job Training/Orientation Required:
Completion of new co-worker orientation
