Signature Projects is Hiring an Office Manager / Executive Assistant Near Phoenix, AZ

Company:

Signature Projects is a commercial general contractor that specializes in new construction and large renovation projects throughout Arizona. Currently we service the office, retail, industrial, multifamily and government sectors. We are fast growing company with a fun office environment.

Job Overview:
We are seeking a highly organized and detail-oriented Office Manager & Executive Assistant to join our team. The position will be responsible for providing administrative support, managing calendars, and assisting with various office tasks. The ideal candidate will have excellent organizational skills, strong attention to detail, and the ability to multitask effectively. You will be working closely with the President and Vice President to make sure the organization is staying on top of tasks and the office is running smoothly. We are also looking for someone that can manage our social media accounts and make website edits over time. Applicant must maintain positive office atmosphere through leadership and communication

Duties:
- Perform general administrative duties such as answering phone calls, responding to emails, and maintaining office supplies
- Manage calendars and schedule appointments
- Assist with document preparation, proofreading, and editing
- Coordinate meetings and conferences, including room setup and catering arrangements
- Assist with office management tasks such as filing, data entry, and record keeping
- Handle incoming and outgoing mail and packages
- Assist with bookkeeping tasks using QuickBooks software
- Utilize Google Suite applications for various office tasks
- Transcribe meeting minutes or other important documents as needed

Qualifications:
- Proven experience in an administrative or clerical role
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent attention to detail and accuracy in work
- Proficiency in Microsoft Office Suite (Word, Excel) & Social Media posting
- Familiarity with office management procedures
- Ability to handle confidential information with discretion
- Strong written and verbal communication skills
- Ability to work independently and as part of a team

This is a full-time position with competitive pay. We work 4 - 9 hour days and half day Fridays. We offer opportunities for professional growth and development within our organization.
