Summary:

The Trademark Legal Administrative Assistant is responsible for assisting in day-to-day operations of attorney practices, including carrying out administrative services, providing support to the Intellectual Property group, and ensuring that attorneys are able to provide exceptional service to their clients. The ideal candidate has a strong work ethic, exceptional problem solving skills, and is comfortable working in a fast-paced and dynamic workplace.

Essential Duties:

• Writes, proofreads, sends, files and manages correspondence, memos, pleadings, contracts, forms, and other related documents.
• Prepare time sensitive client reporting letters and filings for various U.S. Patent and Trademark Office (USPTO) submissions.
• Maintain physical and electronic files for various IP matters, including client correspondence.
• Download materials from the USPTO and prepare materials to be filed with the USPTO.
• Review daily USPTO communications for accuracy, docketing and reporting to client.
• Assists in the client intake and file opening process.
• Answers telephone and routine questions or routes calls to appropriate staff members.
• Schedules/manages appointments and maintains updated contacts.
• Calendars and dockets all relevant deadlines.
• Manages multiple time-sensitive projects and applies various procedural guidelines of differing jurisdictions.
• Receives, reads and routes incoming mail.
• Operates office equipment including multi-function machines, cost recovery equipment, etc..
• Utilizes working knowledge of computer software including Microsoft Word, Outlook, Excel, PowerPoint and Nuance PDF.

Other Responsibilities:

• Performs other work-related duties as assigned and appropriate for specific area(s) of law as assigned.
• Attends staff meetings.
• Assists nearby LAAs with workload.
• Updates job knowledge by participating in educational opportunities; reading professional publications.
• Accomplishes organization goals by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.

Education, Experience and Skills Required: Physical Requirements:

• Reporting and research skills.
• Strong verbal and written skills including strong command of spelling, punctuation, and grammar.
• Interpersonal skills to maintain strong client and co-worker relationships
• Organization, planning, attention to detail, and time management.
• Dependability
• Bachelor’s Degree preferred.
• Minimum of high school diploma required.
• 2-4 years of Trademark Assistant experience in a law firm.

Physical Requirements:

• Standing and walking regularly, up to two hours per day.
• Sitting position static for up to one-half hour at a time, up to six hours per day.
• Lifting and carrying up to 20 pounds occasionally.
• Bending and stooping regularly, up to one hour per day.

Job Type: Full-time

Pay: $75,000.00 - $90,000.00 per year
