DESCRIPTION OF BASIC FUNCTIONS AND RESPONSIBILITIESThe Human Resources Assistant performs a variety of clerical and administrative support duties for the day-to-day operations, programs, and activities of the Human Resources Department. The Human Resources Assistant is the entry classification in the Department's support staff series. This job class performs routine office administration functions including preparing correspondence, filing, front desk reception, answering department telephone calls and emails, scheduling appointments, maintaining calendars, recordkeeping, and other support duties. Employees in this classification receive general supervision within a framework of standard policies and procedures.
CLASSIFICATION:Range on the current Classified Salary Schedule, 40 hours per week, 12 months per year. Work assignment hours are 8:00 a.m. to 5:00 p.m., Monday through Friday.

Typical Duties, Knowledge and AbilityEssential Functions:
- Input, check, verify, compile, and record a variety of data and information for the Human Resources Department.
- Prepare accurate written communications in a variety of media formats and distribute information to staff, students, and community members.
- Receive, process, and distribute incoming and outgoing District mail and incoming interoffice mail and communications.
- Schedule appointments, reserve facilities, coordinate meeting participation, and communicate schedules to participants.
- Receive staff, students, and community members on behalf of the Department, answer general procedural questions, and direct inquiries to appropriate staff.
- Prepare purchase orders, requisitions, and related documents on behalf of Department staff, including processing supply and equipment orders.
- Coordinate Department activities with other departments, divisions, and offices.
- Maintain Department calendars of events, activities, travel, and duties.
- Prepare reports and data on a wide variety of Departmental functions including work schedules, leaves, expenditures, payables, and related functions.
- Maintain and update a variety of records, logs, and filing systems.
- Receive, review, and process documents, records, and information for accuracy, completeness, and compliance with policies.
- Develop forms, worksheets, logs, and related information collection tools for recording and maintaining Department information.
- Assist Human Resources staff with administrative support functions such as scheduling appointments, collecting records, maintain files, tracking activities, sending and receiving correspondence, and related activities.
- Assist in the preparation of materials for, and participate in, various training workshops.
- Utilize the District's integrated software in performing the required duties of the position.
- Assist in the day-to-day activities of the office to assure efficient and effective office operations.
- Operate a variety of office equipment such as a computer, calculator, copy machine and scanning devices.
- Perform other related duties similar in scope and function.
