As a Service Administrative Coordinator specializing in project startups, you play a pivotal role in supporting our customers and internal teams through efficient quoting, invoicing, and administrative assistance for startup and shop work projects. Job Responsibilities

  • Coordinate service appointments and confirmations with customers and technicians.
  • Serve as a point of contact for customer inquiries and scheduling needs.
  • Maintain accurate records of service requests, work orders, and customer information.
  • Collaborate with technicians to ensure timely completion of service tasks and monitor progress.
  • Assist in managing inventory of parts and supplies, including ordering and replenishing stock.
  • Prepare and process service invoices accurately and promptly.
  • Conduct quality checks on completed service tasks to ensure adherence to company standards.
  • Generate reports on service activities, including volumes, turnaround times, and customer feedback.
  • Provide general administrative support to the service department, including filing and document organization.
  • Ensure compliance with company policies, procedures, and safety regulations
  • High school diploma or equivalent; additional certification or coursework in office administration or related field is a plus.
  • Proven experience in administrative support roles, preferably in a service or maintenance environment.
  • Proficiency in MS Office (Word, Excel, Outlook) and experience with CRM or service management software.
  • Excellent communication skills, both written and verbal, with a strong customer service orientation.
  • Ability to prioritize tasks and manage time effectively in a deadline-driven environment.
  • Detail-oriented with strong organizational and problem-solving abilities.
  • Team player with a positive attitude and willingness to adapt to changing priorities.
