Executive Administrative Assistant to the CEO
Seafrigo USA is looking for a flexible, energetic, and motivated Executive Administration professional for the CEO of Seafrigo USA. This position is located in our Elizabeth NJ office. You will be working for a world leader in "one stop shop" solutions from freight forwarding to customs brokerage, from warehousing to domestic transportation, so experience in the freight/warehouse industry will set you apart. The Executive Administrative Assistant to the CEO requires a proactive problem solver with exceptional communication skills and meticulous attention to detail. This role will support the CEO as directed to ensure that the CEO's time is managed expeditiously and efficiently. The position requires experience working in an office environment, performing administrative duties, and providing support to senior level executives. The position requires flexibility and consistency while maintaining the confidentiality of high-level systems and operations.
Essential Duties and Responsibilities:
Typical tasks performed include a combination of the following:
  • Manage the CEO's schedule, including coordinating events such as customer visits, arranging lunch, dinners, hotel bookings, flight arrangements.
  • Coordinating internal staff and departmental meetings.
  • Recording, proofing, distributing and archiving minutes of meetings.
  • Support the leadership team/Company with various administrative tasks.
  • Coordinating the collection of data and information for presentations and projects
  • Provide support to the marketing & communications team as needed.
  • Travel may be needed; predominantly domestic. Anticipated to be no more than 10% of their time.
  • Responsible for ordering of stationary, coffee and other office supplies
  • Ensure information and content is made available to other management as necessary to support meetings with CEO.
  • Provide administrative support, such as drafting CEO companywide announcements, creating spreadsheets, maintaining contacts.
  • Projects and other duties that may be required from time to time.
  • Participate in events and accompany or represent management when travelling abroad.
Knowledge, Skills and Abilities:
  • Four or more years of experience in an administrative role reporting directly to senior management.
  • Excellent written and verbal communication skills in English; Spanish and/or French a plus.
  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects.
  • Experience in the Transportation & Logistics industry is a significant advantage.
  • Proficiency with office productivity tools and an aptitude for learning new software and systems.
  • Flexible team player, willing to adapt to changes and unafraid of challenges.
  • Ability to maintain confidentiality of information related to the company and its employees.
  • Excellent people skills, including ability to work under deadlines.
  • High School diploma required, associate or bachelor's degree preferred.
  • High level of integrity and good judgment.
