The Administrative Assistant will play a crucial role in ensuring the smooth and efficient operation of our office. This individual will provide administrative support to the partners and staff, assist with client communications, and handle various office tasks with a high degree of professionalism and confidentiality.

Qualifications:

  • Prior experience in an administrative role. Experience specifically within a CPA firm or a similar professional services environment is preferred, but not required.
  • Proficiency in using office software Microsoft Word, Excel, and Outlook. Experience using the tax software Lacerte is preferred, but not necessary.
  • Excellent communication skills, both written and verbal, with the ability to interact professionally with clients and colleagues.
  • Strong organizational skills and attention to detail to effectively manage multiple tasks and priorities.
  • Ability to work independently with minimal supervision and as a part of a collaborative team environment.
  • Flexibility to work additional hours and Saturdays during tax season.

Responsibilities:

  • Assist with answering phones.
  • Data entry, filing and clerical support throughout departments.
  • Greet clients and guests.
  • Scanning, copying, and saving documents.
  • Assist with document management, file organization, and e-filing documents.
  • Assist firm with daily administrative tasks.
  • Assist with the processing of daily incoming and outgoing mail.
  • Assist clients regarding tax returns and their status.
  • Assist in writing letters.
  • Ensure compliance with company policies and procedures.
  • Maintain confidentiality of all client and firm information.
