Job Overview:
We are seeking a highly organized and detail-oriented Executive Assistant to provide administrative support to our executive team. The ideal candidate will have exceptional communication skills, be proficient in office management tasks, and possess a strong ability to multitask.
Responsibilities:
- Manage executive calendars, including scheduling meetings, appointments, and travel arrangements
- Coordinate and organize meetings, conferences, and events
- Prepare and edit correspondence, reports, and presentations
- Conduct research and compile data for various projects
- Assist with personal tasks for executives as needed
- Answer phone calls and direct inquiries to the appropriate person or department
- Maintain office supplies inventory and place orders when necessary
- Handle sensitive and confidential information with discretion
- Perform general administrative duties such as filing, scanning, and photocopying
Skills:
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent written and verbal communication skills
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Experience with calendar management tools such as Outlook Calendar
- Knowledge of office management procedures and equipment
- Attention to detail with strong proofreading abilities
- Ability to provide exceptional customer service both internally and externally
- Familiarity with phone systems and ability to handle incoming calls professionally
Qualifications:
- Proven experience as an executive assistant or in a similar role
- Computer literacy with proficiency in using various software applications
- Ability to maintain confidentiality and exercise sound judgment
- Strong problem-solving skills and ability to work independently
