Job Summary:

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The Administrative Assistant works alongside the rest of the SBC staff to strengthen and support the ministries of Sanctuary Bible Church. They are involved in the organization, planning and execution of church ministries together with other staff, elders and volunteers. They report to the Senior Pastor. This is a part-time position based in our office.

Responsibilities:

General

· Actively participates in the life of a local church, whether SBC or another area congregation. Participation in church life is significant for the personal growth and development of the Administrative Assistant.

· Provides overall general support to the Senior Pastor as he seeks to shepherd and lead the congregation in fulfilling the vision and stated mission of the church.

· Partners with the whole staff team to evaluate, strategize, plan, organize and implement the ministries of the church.

Specific Areas of Work

At this time, the following are the initial expectations for the position. However, these are all subject to change based on a combination of: the ministry needs and opportunities of the church; the skills, gifts, abilities and personality of the Administrative Assistant; and the skills, gifts, abilities and personalities of other staff members.

Communications:

· Creating, receiving and responding to communications on behalf of the church. This currently includes face-to-face, phone, fax, physical mail, bulletins, email, social media and website communications and may change as forms of communication change.

· Manage the church calendar, ensuring its accuracy and availability.

· Engage with staff members and volunteer ministry leaders to understand as much as possible (and appropriate) what is happening in each area of church ministry.

Information Management:

· Maintaining, organizing, and preserving official church records. This includes a wide variety of records, usually provided by others, including such items as: official meeting minutes, membership records, the church directory, legal documentation and renewal information, maintenance records and policy documents.

· Maintain confidentiality of sensitive information

Facility Use:

· Track facility use by ministry groups to ensure facility availability and readiness for each group.

· Oversee the use of church facilities by other groups. This includes communicating SBC’s expectations and policies to groups who desire to use the facilities, clerical processing of the requests and associated payments, and ensuring availability and readiness of the facilities for each group.

Accounting:

The following items may be done in cooperation with an outside accountant or bookkeeper. Which functions need to be done in-house will be based on a combination of the Administrative Assistant’s capabilities and the realities of what can/cannot be reasonably outsourced. This determination will be reached by communication between the Administrative Assistant, the Senior Pastor, and the Elder Board. The Elder Board must approve such arrangements before they begin.

· Process offerings and payments, entering the necessary information in the church’s financial management system(s).

· Make weekly deposits into the appropriate bank accounts.

· Receive, process, and pay bills, and reconcile payments by others (for example, through church credit cards or through reimbursements).

· Manage the church’s payroll: making payments, maintaining appropriate records, creating reports, paying the appropriate payroll taxes, and creating an annual workers’ compensation report for the church’s insurance company.

· Track the church’s income, expenses and budgets and generate reports reflecting the church’s financial standing.

· Create and send annual giving statements and gift acknowledgements (as needed).

Requirements:

· Agreement with Sanctuary Bible Church’s Statement of Faith, vision and mission.

· Able to support and work within the structures provided by SBC’s Constitution, and Policies & Procedures Manual.

· Meets and consistently demonstrates the character qualifications of deacons/deaconesses described in 1 Timothy 3:8-13.

· Personable and relational: enjoys people and adapting to the needs of ministry, recognizes that relationships are messy and has a willingness to serve Christ’s body relationally, wherever that leads them.

· Skilled at creating and maintaining orderly systems.

· Computer savvy — has a working knowledge of currently used software and the ability to learn new software and systems as needed. The current list includes:

· The Microsoft Windows operating system

· The Microsoft Office Suite (especially Word, Excel & Publisher)

· QuickBooks

· Servant Keeper (training available)

· Planning Center
