Saint Francis House Inc is Hiring a Special Projects Assistant Near Boston, MA

Description

Salary Range: $49,200 per year - $54,120 per year

Schedule: Monday – Friday, 8 hour per day, between 7:30 am – 5:00 pm.

Job Summary:

The Special Projects Assistant is responsible for providing comprehensive administrative and project management support to the Vice President of Program Strategy & Initiatives. The primary focus will be in supporting special project implementation through managing schedules and tasks, keeping excellent records, communicating thoughtfully, proactively anticipating needs and challenges, and following up on a range of administrative tasks in a timely way.

Essential Duties:

  • Manages the VP’s calendar and overall project calendar, including complex scheduling challenges, with internal and external stakeholders in a proactive and timely way.
  • Maintains clear flow of communication of key project details. Pays attention to project timelines, providing reminders to stakeholders as needed.
  • Ensures that project team members and stakeholders can access the project information and resources they need quickly and easily.
  • Builds and maintains positive relationships across the agency and with external stakeholders by being engaging, respectful, reliable, and responsive. Represents the VP and any projects positively and authentically.
  • Communicates project info and updates directly with internal and external project stakeholders as directed by and on behalf of the VP.
  • Ensures that staff are kept up to date on any relevant project-related news, as directed by the VP. Sends weekly project updates and ensures that information is posted internally.
  • Promotes effective external communication by efficiently responding to or initiating correspondence with various external contacts.
  • Accompanies and/or represents the VP at internal or external meetings. Takes thorough and organized notes and distributes them in a timely way.
  • Assists with researching/gathering background information in support of project planning and/or implementation. Compiles coherent summaries of relevant information for review. 
  • Supports the VP in the timely preparation of documents, including reports, presentations, and proposals.
  • Coordinates meetings including inviting attendees, booking rooms, ensuring that materials are prepared and distributed, confirming any needed IT is in place, and food is ordered, set up and cleaned up.
  • Adheres to agency code of conduct.
  • Performs other duties as assigned.

Requirements

  • Bachelor's degree in non-profit or business management, communications, social science, human services or related field strongly preferred.
  • Minimum of 3 years of successful experience providing complex administrative and/or project management support.
  • High school diploma accepted for exceptional, experienced candidates.
  • Minimum of 5 years successful experience providing complex administrative and/or project management support.
  • Candidate must demonstrate prior success in meeting challenges and opportunities presented by increasing responsibilities in prior roles.
  • Lived experience of homelessness and/or recovery a plus.
