Pay Grade: 5

JOB SUMMARY: To provide administrative support and coordinate front desk operations for Campus Facilities.

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Provide administrative support including: comprehensive customer service; prioritize, transfer, and assign work orders to appropriate Campus Facilities employees using computerized maintenance management system (CMMS); communicate with Campus Facilities employees by radio to relay messages; address routine requests and complaints.
  • Prioritize and escalate work requests via the CMMS or other communication avenues as necessary based on the urgency of the situation.
  • Provide clerical support to the Campus Facilities Department including: word processing, data entry, and filing; arranging travel schedules and reservations; proofing; photocopying.
  • Greet visitors and answer telephones. Ascertain the nature of a visitor’s business to answer questions, and/or direct them to the appropriate person.
  • Support Motor Pool function by facilitating vehicle requests, distributing keys, and preparing a monthly report for State of Michigan motor pool lease payments.
  • Responsible for maintaining the University’s key management program through the maintenance of accurate employee key lists and floor plans with updated door information, including room numbers and lock core. Generate reports as needed utilizing information in the key management program.
  • Follow established procedures for issuing, collecting, and inventorying keys. Ensure that key requests are compliant with the University Key Issuance Policy and records are properly maintained.
  • Disburse keys to contractors as requested by Campus Facilities, Facilities Planning and Construction, Information Technology Services, or other departments.
  • Maintain and update keys in the key room and the corresponding logbooks. Assist locksmith in maintaining keys that are returned to the department.
  • Assist custodial, grounds, HVAC, and maintenance foremen when needed.
  • Assist with maintaining electronic door access privileges for employees and student athletes.
  • Prepare and submit purchase requisitions or utilize P-Card to purchase approved items. Responsible for reconciling P-Card statements for own card and for other department employees.
  • Review time management system activity each pay period to verify accuracy.
  • Process and communicate information from the Conference Center at SVSU (TCC) for events on campus and enter work requests for grounds or maintenance-related event needs.
  • Review CF support folder daily for Athletic & TCC events for grounds or maintenance needs, ensure appropriate notes are added to work orders, request furniture from surplus, and address other miscellaneous requests.
  • Responsible for recordkeeping of various critical equipment certifications and licenses.
  • Coordinate annual uniform and footwear ordering process for Campus Facilities and other departments and schedule vendor visits to campus as needed. Track annual uniform expense per employee as required by the SSA collective bargaining agreement.
  • Coordinate posting of job openings for Campus Facilities department as needed.
  • Perform other duties as assigned.

SUPERVISION RECEIVED:

Supervision is received from the Assistant Director of Campus Facilities. Also receive direction from Assistant Director of Custodial Operations, Assistant Managers of Maintenance and Custodial Operations.

SUPERVISION EXERCISED:

Assist with coordinating work for student employees, including selection, training, and evaluation.

MINIMUM QUALIFICATIONS:

  • High School Diploma or equivalent with additional education, training or certification in a related field.
  • Three years of job-related clerical experience, preferably in higher education, including excellent spelling, grammar, punctuation, basic math skills and oral and written communication skills.
  • Demonstrated customer service skills and interpersonal skills to interface with faculty, staff, students and the general public.
  • Personal computer proficiency (Microsoft Office Suite) and ability to learn specialized software programs, including those utilized by the Campus Facilities department.
  • Ability to work cooperatively and communicate professionally with faculty, staff, students, and the general public.
  • Experience and ability to positively interact with diverse student populations and groups.
  • Ability to work independently with minimal supervision and accept direction for multiple and diverse employees.
  • Ability to organize, prioritize and expedite workload, working under occasional time pressure.
  • Ability to occasionally handle differing, non-routine work situations and problems by exercising independent judgment and initiative.
  • Ability to maintain confidentiality of files and records.
  • Ability to learn technical/discipline specific terminology.
  • Ability to remain calm and focused during hectic or challenging situations.
  • Ability to perform the essential duties of the position with or without accommodation.

PREFERRED QUALIFICATIONS:

  • Experience with key management and computerized maintenance management systems.

WORKING CONDITIONS:

Duties are performed indoors and not exposed to adverse conditions. Subject to potential hazard of sharp objects while cutting keys.
