Private Events Coordinator

Reports to: Events Director

We are looking for a hospitality professional who has an excellent industry track record and thrives in a fast-paced environment. As Events Coordinator, you must demonstrate tremendous attention to detail as well as an eagerness to develop client relationships. Additionally, you must possess superior customer relation skills, excellent communication skills, and an ability to self-manage and multi task well under pressure. 

The Provate Events Coordinator must be capable of working directly with and taking direction from the events team to achieve the restaurant’s common goal of guest satisfaction. The Private Events Coordinator must work with a warm, knowledgeable & noticeably appreciative demeanor. The role of the Private Events Coordinator is integral to the success of the restaurant - you must show passion for providing extraordinary service and a desire to help out where needed.

CANDIDATE REQUIREMENTS

  • Prior experience as an event coordinator.
  • Skilled in project management.
  • Computer savvy: able to use adobe, excel, publisher, google drive.
  • Outstanding communication and negotiation ability.
  • Excellent organizational skills.
  • A knack for problem-solving.
  • Customer-service orientation.
  • A team player with leadership skills.
  • Must be able to take constructive criticism and work well in a team dynamic.
  • Experience working with Tripleseat, OpenTable & SevenRooms is preferred.
  • Must be able to lift and carry at least 50 pounds.
  • Must be able to stand for long extended periods of time.
  • Must be comfortable with repetitive motions (such as walking, bending & standing).
  • Must have full schedule availability.

JOB RESPONSIBILITIES

  • Support events managers in various aspects of the event planning and execution process-- such as opening and managing client general inquiry communications, BEO creation, facilitating menu approval & printing, requesting and coordinating outside vendor rentals and COIs (AV, florals, etc), planning and executing offsite events, contracting events in accordance to company terms, communicating with reservation/Chef/Dining/Kitchen teams.
  • Update events calendar and communicate calendar to the Hospitality Team. 
  • Setting, communicating and maintaining timelines and priorities.
  • Communicating, maintaining and developing client relationships.
  • Providing leadership, motivation, direction, and support to your team.
  • Ensuring excellent customer service and quality delivery.
  • Know about and defend our represented brands. 
  • Have knowledge of ‘who’s who’ at The Restaurants.
  • Know and be able to explain what Crown Shy and Saga means.
  • Know and be able to explain Crown Shy and Saga’s mission.
  • Know historical information about the 70 Pine building.
  • Be able to take on and complete general administration duties.

SERVICE RESPONSIBILITIES

  • Be warm, knowledgeable and noticeably appreciative.
  • Accommodate guests by making each individual feel welcome.
  • Act professional and accommodating and always maintain composure. 
  • Identify and handle problems and difficult situations immediately.
