Our fast-growing, boutique law firm is looking for an efficient, organized, legal assistant/paralegal to help our attorneys and other paralegals assist clients and ensure we’re operating efficiently. You’ll assist with the preparation and review of legal documents, meet with clients, prepare documents for signing and deliveries to clients. You will help maintain the calendar and assist in other aspects of client services and firm work as needed. including, but not limited to, office correspondence including answering phone calls and emails, arranging meetings and travel, and reminding the team of upcoming deadlines. If you have experience in a law firm environment, work well under pressure, and are looking for a rewarding opportunity in the legal industry, we want to connect with you. Specific experience with estate planning, probate, trust administration, guardianship, and Medicaid planning preferred, but not necessarily required. The successful candidate will be a notary public.

Compensation:

$35,000 - $45,000

Responsibilities:
  • Work with attorneys and paralegals to create various legal documents, including pleadings, motions, subpoenas, affidavits, contracts, and briefs for case preparation, and proofread documents when requested
  • Undertake other duties as needed to ensure the firm operates efficiently
  • Complete legal research as needed under the supervision of attorneys and paralegals
  • Manage office correspondence and administrative tasks such as answering phone calls, communicating with opposing attorney offices, taking dictation, responding to emails, and reminding the team of upcoming deadlines
  • Arrange travel, schedule meetings and appointments for the team, such as depositions, and coordinate with outside vendors for events
  • Process client billing properly using daily time records with help from the accounting department

  • Work with attorneys, paralegals, department supervisors, and others as needed to ensure timely, efficient and correct production of client documents
  • Act as a witness for client estate planning documents
  • Review and edit estate planning documents
  • Prepare New York State deeds as well as ancillary documents
  • Create client trust funding chart, and assist clients with re-titling assets to trusts and modifying beneficiaries to meet client's objectives as required
  • Drafting and reviewing Surrogate Court and Supreme Court documents as required
  • Conducting initial client interviews, answering phones as needed, and other associated tasks within the office
  • Keeping track of time and taking notes from all client interactions
Qualifications:
  • Must be able to type at least 50 WPM
  • High school diploma or equivalent is required; associate’s degree is a plus
  • 1-2 years of prior experience in a law firm environment as a secretary or administrative assistant
  • Proficient with MS Office products
  • Organizational skills and communication skills are necessary for this position
