The Rusk Team is currently looking for a friendly part time and possibly full time person to answer customer phone calls and to do office work.
This is an important person to our team. This person's position is our customer's first contact with our company.

Responsibilities

  • This position will require someone to answer phone calls, set up appointments, make call reminders , help service techs when they call in and do some misc office work.

Qualifications

  • Must be friendly and have good phone skills. Must be able to work on a computer.

Position Purpose (Summary)

The function of this position is to:

  • Schedule and book the service or sales appointments when clients and prospect call.
  • Develop profitable sales and acquire customers through our established sales and marketing program.
  • Identify new business opportunities by performing direct sales activities and provide support to the administrative personnel as requested.
  • To dispatch, manage and allocate resources to meet the expectations of our clients.
  • Develop self-generated leads through networking, data mining (from existing client records) and referral generation from previous clients.

Customer Service Representative/Admin’s Responsibilities/Duties/Functions/Tasks

  1. Answer the phone quickly and professionally.
  2. Flexible Scheduling
    1. Regular Schedule: Days Mon-Fri 8:30am -8 pm
    2. Nights & Weekend: Hours: Weekdays 3:30 PM – Midnight, Weekends 9:00 am to 6:00 pm
      1. Schedule: A; Wednesday through Sunday,
      2. Schedule: B; Saturday through Wednesday,
    3. Communications Role: weekdays 10:30 AM to 7:00 PM
    4. Flexibility to fill schedule voids a big plus.
  3. Call customers to confirm maintenance appointments and schedule, as necessary.
  4. Work closely with service dispatch to coordinate scheduling.
  5. Sell new service agreements and renew existing service agreements.
  6. Grow, monitor, and maintain the maintenance programs; update changes in ownership, add new install job information and review reasons for non-renewals.
  7. Receive, record, and maintain sales lead information, set appointments, as necessary.
  8. Communicate clearly, precisely, and in a friendly manner. Take and deliver messages as appropriate. Ensure messages are received and follow up as appropriate.
  9. Ensure the accurate capture, data entry and maintenance of customer information.
  10. Work closely with the service and sales departments, recognizing and identifying possible sales opportunities facilitating appropriate follow up.
  11. Be familiar with our company, products, and services so many questions can be answered without consulting others.
  12. Alert managers quickly to significant customer issues, serving as a champion of the customers to our company.
  13. Perform dispatching and scheduling of service technicians and other resources.
  14. Win the confidence of new clients when they call for service or repairs.
  15. Schedule the client appointment and assign/match qualified staff to perform the work.
  16. Increase revenue from established customers and generate additional revenue from new customers by using proper sales techniques, problem solving skills and account management.
  17. Follow-up on all leads, proposal, and potential sales until closed or lost.
  18. Track lost sales.
  19. Update the Customer Relationship Management (CRM) system for each interaction.
  20. Perform customer satisfaction calls after each visit.
  21. Ask for referrals and inform client where and how to make them.
  22. Have a good working knowledge of our products and services being offered. This may require additional study and training both on and off site.
  23. Continuously improve knowledge of HVAC work, and how Rusk Heating and Cooling operates to benefit the customer.
  24. Establish goals and objectives as they relate to the position, along with a plan of action to attain or exceed set goals.
  25. Regularly review and monitor progress against goals and seek assistance as needed.
  26. Communicate effectively with associates, superiors, vendors, and customers.
  27. Possess superior interpersonal skills.
  28. Efficiently manage his/her time and schedules.
  29. Be computer literate to the extent necessary to fulfill this function. Knowledge of Excel and Word is required. Should also be very familiar with the use of smart phones, email, and text messaging.
  30. Must be capable of understanding client needs, and favorably influence their decision.
  31. Constantly be learning through training from suppliers, trade shows, seminars, independent study, and other employees.
  32. Clean, neat, and professional appearance.
  33. Other duties as assigned
