General Summary:

The College Events Manager is responsible for ensuring adequate planning and implementation of all college events, internal and external. The College Events Manager performs management duties including but not limited to supervision of events staff, developing working relationships across campus and externally, connecting with vendors and renters, managing the college wide calendar of events, contract management and billing.

The Manager will ensure potential renters have an opportunity to explore campus space assets discussing the customers' needs and offering appropriate solutions. Day-to-day responsibilities include managing event staff, administrative oversight, budgetary oversight and communications with all involved parties including Facilities, Security, Reggie Lewis Center, Business Office and Marketing. The Events Manager is responsible for communicating with internal and external renters delivering consistent and exceptional customer service.

Direct Supervision Given

  • Event supervisors and Event staff for all buildings except Reggie Lewis Center
  • Sound technicians
  • Lighting technicians

Position Responsibilities

  • Ensure positive working relationships internally and externally, with all event-related business.
  • Act as the point of contact for all internal & external events held at RCC facilities including the Reggie Lewis Track and Athletic Center, the Media Arts Center, and the campus classroom buildings.
  • Create and manage all space contracts, adhering to fees approved by RCC's Board of Trustees and contract language provided by RCC's General Counsel.
  • Work with all college departments to ensure that external events are tied to appropriate college departments and initiatives.
  • Coordinate available classroom spaces with the college Registrar.
  • Work with Marketing, as appropriate, to promote events online and on the website.
  • Research fees associated with comparable rental space at other facilities; make recommendations on fee adjustments in coordination with the Director of College Events.
  • Track event logistics from start to finish including rental forms, check requests, invoicing, proof of insurance, required state paperwork and reporting.
  • Coordinate appointments and visits to view space.
  • Manage event scheduling system and coordinate billing with the Business Office.
  • Coordinate the College Scheduling Committee Meetings.
  • Coordinate services for events including security, maintenance, AV, etc.
  • Coordinate weekly operations meeting; serve on other committees as needed.
  • Any other duties as assigned to ensure the success of the Events Department and RCC.
  • Participate in the hiring of and handle scheduling of event staff, event supervisors, sound technicians and lighting technicians.
  • Schedule support staff (for all buildings except the Reggie Lewis Center) in accordance with contract details.
  • Ensure Media Arts Center technicians maintain an accurate inventory of technical equipment.
  • Any other duties assign to ensure the success of the department and RCC.

Job Requirements:

  • Bachelor's degree required
  • Five years of supervisory experience ideally in a customer service orientated field
  • Strong customer service, administrative and organizational skills with excellent written and oral communication skills to work positively with different populations
  • Event planning experience
  • Knowledge of industry best practices and MA state regulations
  • Possess strong leadership skills
  • Exceptional time management skills
  • Attention to detail
  • Experience working in diverse environments
  • Proficient with event management software (knowledge of Tripleseat preferred), and Microsoft Office Suite, with expert knowledge of Excel

Location: Roxbury campus
Hours: 37.5 hours per week, Monday to Friday 9:00am-5:00pm (Some evenings may be required in regards to attendance for special events)
