We are a private dental office with one doctor and two hygienists working Monday through Thursday 7: 30 AM to 5:30 PM. Our morning huddle start at 7:40AM and our office closes at 5PM. Our front desk team is consist of treatment coordinator, insurance coordinator and hygiene coordinator. Insurance coordinator will be responsible for sending claims and collection. Hygiene coordinator will take care of her hygiene teams production and schedule. You as treatment coordinator's job duty will be taking care of doctor's daily schedule and production. Although each position has clear job description to focus on, please understand being a team player is the most important culture of the office.
Treatment Coordinator
Coordinating and managing the Doctors’ schedule efficiently to ensure patients' treatment and satisfaction and practice profitability is the main role of treatment coordinators.
Your job will be evaluated by the growth of Doctor’s production/collection. The key for your job is to let the doctor maximize his production daily and let our patients utilize their insurance benefit maximally. It means you need to schedule patients in the most efficient way and let patients have the best experiences.
Treatment Coordinator should focus:
TX Coordinator needs to share the previous day’s production/collection and estimated production of the day with team members.
TX coordinators should constantly communicate with doctors and assistants regarding his schedule. The schedule should be discussed a week ahead. Doctor’s schedule should be carefully created. If not sure, always ask the doctor.
TX Coordinator is responsible for every doctor's patient’s insurance verification.
TX Coordinator is responsible for updating their medical history form.
Tx plan coordinator is responsible for presenting treatments to patients and helping them make financial agreements. You are responsible for both HYG and Doctor’s patients.
Tx plan coordinator is responsible for entering a precise amount of production for all patients.
Tx plan coordinator is responsible for entering the right code for doctor’s treatment in the ledger.
Tx plan coordinator is responsible for checking out patients. Hygienists will make an appointment for their patient and dental assistant will make an appointment for no production appointments like post op.
Deposit cash into a cash box and leave a record.
TX Coordinator is responsible for providing the detailed routing slips for the doctors and assistants.
TX Coordinator is responsible for sending prescriptions for the patients. It is absolutely not allowed to make any mistakes on this part. Make sure to send prescriptions when patients agree to receive the treatment. Preferably, send the prescription before their upcoming appointment. If it is same day treatment send the prescription before we start the treatment. It is not allowed to send a prescription at the end of the treatment. Consider the prescription as part of the treatment planning.
Any lab case we received should be entered in the chart and sent back to the back.
It is your responsibility to check invoices from every lab case and to communicate with the lab if there is any issue.
You should keep your own list of patients who have pending treatment and they have to be called or texted periodically. If they seem bothered or non responsive, write that on the list.

Please show gratitude to the team. Doctors cannot do any treatments without front staff or assistants. Insurance coordinator cannot collect anything without the help of hyg/tx coordinator. Without the collection, tx/hyg coordinators’ works are meaningless.
