Description

Summary :

Coordinate and perform a range of staff. As well as operation support activities for the department. To serve as a liaison with other departments and operating departments in the resolution of the day-to-day administrative and operational problems.

To act as a communication conduit with all central office departments. Ability to multi-task duties, and organize and coordinate meetings.

Responsibilities :

  • Schedule and coordinate meetings, interviews, appointments, events, and other similar activities for the Director of Procurement & Assistant Director of Procurement
  • Maintain the Rosen Purchasing inbox
  • To provide administrative support for the department such as answering telephones, assisting visitors, and taking detailed messages.
  • Operate a personal computer and MS Word software to compose and edit correspondence and memoranda from verbal direction and knowledge of established department / company policies : prepare transcribe, compose, type, edit, and distribute agenda and minutes of meetings.
  • Take initiative in the Director's absence, as well as keeping a log of activities.
  • Update schedules and make changes for associates in INFOR.
  • Update and create Excel worksheets and maintain multiple Outlook calendars.
  • Assist in enforcing all company policies and procedures.
  • Prepare office supplies order and OPS building supplies order.
  • Maintain working knowledge of Adaco, V1, DM, and Quickbooks.
  • Completes special projects as requested by the Director of Procurement or Assistant Director of Procurement.
  • Ability to prioritize multiple tasks, have a sense of urgency to complete projects and be detail oriented.
  • Must possess excellent communication skills, written and verbal, must be willing to pitch in and help co-workers with their job duties and be a team player.
  • Perform any other related duties as required or assigned.

Education

High school, plus specialized schooling and / or on-the-job education in a specific skill area; . data processing, clerical / administrative, equipment operation, etc.
