RHN is Hiring an Executive Assistant to the President/CEO Near Rockford, IL

Position Purpose: The Executive Assistant to the President/CEO will provide daily high-level administrative support to the office of the President/CEO of Rosecrance Health Network. Serve as the primary point of contact, internally and externally, for the office of the President/CEO. Lead office support functions and best practices of Rosecrance Health Network and all affiliates. Assist with oversight or execution of special projects and/or events for Rosecrance Health Network and all affiliates. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.


Qualifications/Skills:

  • Bachelor’s Degree in business administration, communications, or related field or related field or equivalent experience, education, and training.
  • Significant executive support experience, including supporting C-level executives. Nonprofit board experience is highly-preferred.
  • Excellent oral and written communication skills required.
  • Strong interpersonal skills and possession of a full understanding of professional business ethics, decorum and social skills.
  • Excellent organizational skills and impeccable attention to detail.
  • Excellent time management and project management skills with a proven ability to meet deadlines, correctly prioritizing, and ability to be resourceful to anticipate needs.
  • Ability to function well in a high-paced environment.
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
  • Extremely proficient with technology including virtual meeting platforms with the ability to troubleshoot.
  • Extensive knowledge of social media strategies to positively represent the office of the President/CEO of Rosecrance Health Network and the organization overall.
  • Able to maintain a high level of integrity and discretion in handling confidential information.


Essential Responsibilities:

  • Work scheduled hours and any additional hours deemed necessary by leadership. Some variation in scheduled hours may be required to meet company needs including occasional overnight travel or evening hours for board meetings, events, etc.
  • Provides high-level administrative support and assistance to the President/CEO of Rosecrance Health Network.
  • Provide sophisticated calendar management for President/CEO of Rosecrance Health Network. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
  • Coordinate all Executive Team meetings and retreats and assist with staff meetings and events as needed.
  • Complete a broad variety of administrative tasks that facilitate the President/CEO of Rosecrance Health Network’s ability to effectively lead the organization, including: assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence including professional social media content; maintaining contact lists; making travel arrangements; and completing expense and mileage reports.
  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the President/CEO of Rosecrance Health Network, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect President/CEO of Rosecrance Health Network’s style and organization policy.
  • Receives incoming communication or memos on behalf of President/CEO of Rosecrance Health Network, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
  • Works closely with the President/CEO of Rosecrance Health Network to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated. Anticipate CEO’s needs in advance of meetings, conferences, etc.
  • Performs additional duties as assigned by President/CEO of Rosecrance Health Network.
  • Direct supervisory responsibilities of assigned administrative staff in the Rosecrance Health Network.
  • May recruit, interview, hire, and train administrative staff as assigned.
  • Serve as a member of the team, and participate in all team meetings, duties and activities as assigned.
  • Exhibits actions and makes decisions that align with the Rosecrance Code of Conduct and within the framework of the law.
  • Perform all responsibilities in compliance with the mission, vision, values, and expectations of Rosecrance.
  • Demonstrates strong customer service skills that incorporate the 5 tenets of the Rosecrance Way into daily practices and interactions with all stakeholders.
  • Serve as a role model to others and demonstrate excellent company stewardship.
