Property Management Assistant

Position Overview:

The Property Management Assistant provides support and assistance to the Property Management team effort and services to our commercial real estate properties. This position is actively involved in all aspects of the day-to-day operations including tenant and vendor engagement, physical repairs and maintenance, rent collections and lease administration.

Responsibilities Include:

• Administrative support including maintaining lease files, contract files and service agreements for all commercial properties. Nearly all files are maintained on the system wide common computer drive.
• Prepare annual service agreements ready for signature by our vendors utilizing the established formats.
• Assist in preparing and coordinating bid proposals and service contracts.
• Prepare deposit slips for rent checks at the appropriate bank
• Print rent delinquency reports and actively participate in monthly rent collections; training provided
• Prepare draft tenant default letters for property manager’s review and take them to the post office for sending via certified mail
• Initiate lease assignment process and obtain all documentation ready for internal and subsequent Landlord review
• Track and file tenant and vendor insurance certificates. Maintain follow-up system for expiration.
• Tenant engagement by e-mail correspondence regarding upcoming capital expenditures
• Assist Property Manager with financial reporting, as needed.
• Assist with administrative duties including, but not limited to, promptly responding to tenant messages, e-mails and telephone calls, filing original lease documents, scheduling, and coordinating meetings.
• Schedule and coordinate maintenance requests
• Assist with selected tasks and special projects as assigned.

Skills Required:

• Computer familiarity/proficient in Outlook, e-mail, MS Word and Excel. Yardi experience a plus, but not required.
• On time attendance and adherence to work schedule
• Receptive to learning new skills and participating in the overall collaborative effort

Job Type: Full-time

Pay: $45,000.00 - $50,000.00 per year
