Reach Out and Read of Greater New York is Hiring a Program Assistant Near New York, NY

Reach Out and Read of Greater New York (ROR GNY) shares the power of reading with over 250,000 children every year by incorporating books into pediatric care and empowering and advising caregivers to read aloud to their children at home. We train doctors and nurse practitioners to provide children with developmentally and linguistically appropriate books to take home during every well-child visit. For most of the families we serve, the books we provide are the first books in the children’s home libraries.

Reach Out and Read is the only literacy organization in the country that engages pediatricians as stewards of childhood literacy and development. We leverage the existing infrastructure to deliver a full dose of literacy support when children need it most.

The Opportunity:

The Program Coordinator provides key support for Reach Out and Read GNY staff and program sites. The Program Coordinator is highly organized and has excellent interpersonal skills-- someone who can seamlessly switch from coordinating meeting logistics one minute to responding professionally and personally to an incoming call the next; someone with focused attention to detail, yet who understands the nature of the Reach Out and Read program and how our literacy program fits into a busy healthcare clinic setting; someone who can provide excellent customer service at all times to stakeholders in various levels of the organization.

This role works as one member of the team dedicated to medical engagement, in-person site visits & communications, and administrative tasks. This role reports directly to the Senior Manager of Medical Engagement.

Who We Are Looking For

The ideal Program Coordinator brings the following strengths and skills to the role:

  • Proactive approach to problem-solving and capacity to multitask.
  • Strong organizational skills and exceptional attention to detail.
  • Proficient in Microsoft Office (PowerPoint, Excel, and Word) and comfortable with Google Drive.
  • Professional, personable telephone demeanor; as comfortable on the phone as with emailing.
  • Ability to work effectively with all levels of staff and management, both in-person and virtually.
  • Ability to work both independently and as part of a team.
  • Strong personal commitment to Reach Out and Read’s mission.

Key Responsibilities:

  • Have regular contact with assigned programs to assess programs’ adherence to the Reach Out and Read program models, assign quality ratings, deliver support, implement technical assistance plans, and identify additional needs.
  • Manage the storage unit space, coordinating deliveries to and shipments out of the storage space.
  • Schedule and plan meetings and appointments, including board & committee meetings and elected official meetings.
  • Pull reports from Salesforce and MyROR as requested and perform ongoing database maintenance to ensure integrity.
  • Assist in the preparation of presentations and meetings including but not limited to meeting location scheduling, sending meeting invitations and tracking attendance, A/V requirements, and note-taking.
  • Coordinate logistics of any team travel and speaking opportunities, including meeting venue and catering, hotel rooms, transportation, AV, invite/attendee list, timekeeping, and materials.
  • Support ROR GNY events with logistical, planning, technical, and coordination work.
  • Monitor the info@reachoutandread.org account – forwarding emails to the necessary people or departments and responding to general inquiries and requests as needed.
  • Manage, write, and create engaging content and marketing materials including newsletters, emails, social media posts, toolkits, and more.
  • Maintain office services by organizing office operations and procedures; maintaining relationships with office technology services, and other service supports related to the virtual office space.
  • Support the annual audit process by maintaining and collecting the required documents, supporting meetings, and following up on required documentation.
  • Respond to inquiries from volunteers and potential donors.
  • Perform other duties as assigned or as required.

Other:

  • There are innumerable ways to learn, grow and excel professionally. We respect this when we review applications and take a broad look at the experience of each applicant.
