Global Affairs Canada Locally Engaged Staff... is Hiring a Remote Program Assistant (Immigration, Refugees and Citizenship Canada)

Summary of Duties:
The Consulate General of Canada in New York is seeking to hire a Program Assistant in the Immigration section. This is an exciting opportunity to contribute to the future of Canada. We are seeking a hard-working, collaborative and results-oriented person, with strong attention to detail and a commitment to client service. Under the direct supervision of the Migration Program Manager, this person will support the delivery of Immigration, Refugees and Citizenship Canada’s (IRCC’s) Programs through:

  • assisting in budget management, promotion, recruitment and liaison activities;
  • applying knowledge of established guidelines and procedures;
  • organizing work, tracking resources, and resolving difficult issues;
  • screening and reviewing documentation on a variety of types of applications and files, including complex cases;
  • supporting program integrity;
  • developing and sending correspondence;
  • providing a source of knowledgeable information and assistance to officers, clients, and stakeholders, both internal and external;
  • establishing and maintaining good working relationships with colleagues in other sections of the mission and external stakeholders, to perform day-to-day operational activities and address specific issues;
  • providing administrative support for meetings, committees, conferences, presentations, project teams, or working groups to support the IRCC program, the mission, or partners;
  • contributing to the onboarding or on-the-job training of colleagues. May assist more senior colleagues gain familiarity with local office processes, documents, and culture; and
  • providing administrative support, reporting and tracking relating to mission, IRCC, GAC and Government of Canada administration, travel, finance, budget and reporting.

The ideal candidate will exercise initiative in organizing work, tracking resources and resolving difficult problems.
Area of Selection:
This selection process is open to all applicants legally residing in the New York tri-state area. Candidates must be legally authorized to work in the United States.

ESSENTIAL QUALIFICATIONS
Candidates will initially be screened against the Essential Qualifications relating to education, language* and experience.
Candidates must clearly demonstrate when applying to the position how they meet each of these essential qualifications.
  • Language will be assessed further during the process.
Education:

Candidates will be required to provide proof of the completion of their education.

  • Completion of a post-secondary education credential of at least three years; or
  • An acceptable combination of experience, education and training.

Language:

An advanced proficiency level in English (oral and written)

Experience:

  • Minimum 2 years of recent* experience within a team environment providing services to the general public/clients in an administrative support or program assistant capacity in a corporate, government, or non-government organization.
  • Recent experience is defined as within the last 5 years.
RATED REQUIREMENTS
The Rated Requirements are part of the essential qualifications and are relating to knowledge, abilities and competencies. Methods of assessment for rated requirements may include, but are not limited to, a written examination, an oral interview (online pre-recorded/live or in-person), role-play, practical tests, presentations and/or psychometric assessment.
Knowledge:
  • Knowledge of and proficiency with Microsoft Office Suite, i.e., Excel, Word, Outlook as well as general computer skills and information management; and
  • Knowledge of general office administrative principles, including but not limited to information management principles, office organizational procedures, generally accepted meeting, email and phone etiquette

    Competencies:

    Abilities:

    • Ability to work independently in a proactive and accountable manner as well as part of a larger team.

      Asset Qualifications:
      Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications.

      • Ability to communicate in French;
      • Experience with immigration matters; and
      • Experience working at a diplomatic mission or international organization.

      Operational Requirements:

      • The Consulate General of Canada in New York is the normal place of work and the position requires full-time in-office presence and is not a remote work position. In exceptional circumstances, the candidate must also be able and willing to work from home as required by the employer and follow all security, safety and privacy requirements, including having a personal internet connection from an internet service provider approved by the employer;
      • Normal hours of work for this position are in accordance with the Locally Engaged Staff (LES) regulations of 37.50 hours per week, Monday to Friday;
      • Occasional overtime, including evenings and weekends, may be required with advance notice; and
      • Willing and able to travel domestically and internationally alone or with colleagues, as required.

      Conditions of Employment:
      Conditions of employment must be met or complied with before being appointed to a particular position, and are to be maintained throughout the employment while being the incumbent of this position.

      • Valid work authorization: Ability to obtain and hold a valid work authorization covering the entire employment period.
      • Security screening: Obtain and maintain a Reliability Status (security level) which includes a criminal and credit background check from the Government of Canada covering the entire employment period.
