Radiantly Mindful Counseling Services is Hiring an Executive Personal Assistant Near Monrovia, CA

Overview:
We are seeking a highly organized and detail-oriented individual to join our team as a Personal Assistant. As a Personal Assistant, you will provide administrative support to ensure the smooth operation of our office and assist with various tasks to help manage the day-to-day responsibilities of the Executive Officer for both office and home.

We are seeking a reliable, personable, organized, discreet and detail-oriented Executive Personal Assistant to provide support to a busy female Executive Officer of a Group Private Practice and her household.

This employment prefers a college student that is interested in getting into a healthcare field and is familiar with HIPAA Privacy Rule.

The Assistant will be responsible for assisting with various tasks, personal to-do lists, managing household (ie. light housekeeping, organizing, mini house projects), and while primarily assisting the CEO with business related items in order to ensure the smooth running of both personal and professional affairs. Such total tasks are not to exceed more than 5 hours per week. Just in case there is a need for the employer to need more than 5 hours per week, employer will discuss and collaborate such need prior assignment.

***Part-time employment is for 5 hours weekly during the workweek (Monday thru Friday). Time needed is usually during business hours or before 4pm.

***Preferred availability is from 10am to 3pm on a Wednesday or Friday.

***Flexible hours involve some remote work, some in-person work, or consistent in-person work in Monrovia, CA.

***Business tasks are per service or each are to be completed for an hour every week:
- INQUIRIES/ INSURANCE VERIFICATION/ CLAIMS CORRECTION: returning inquiry calls/ e-mails to help assign clinicians and/ or verify insurances/ benefits of possible clients. And calling various insurances for benefits/ eligibility and claims corrections
- SOCIAL MEDIA/ MARKETING MANAGER: creating weekly automatic posts for various business social media accounts and creating blogs for marketing and sales. Managing website. Assisting with flyers and other various marketing needs.
- OFFICE / HOME MANAGER: assisting with employee interviewing, on-boarding, and/ or quality assurance. Assisting in up-keeping of office spaces (outside home/ home office/ other spaces in the household and Group Practice Office). Some light housekeeping and home projects needed for inside and/ or outside of home.

***Pay: $20.00 - $25.00 per hour. There is a 3-month trial period and during such, pay is $18 per hour.

***Expected hours: 5 hours weekly.

***Preferred bilingual capabilities such as Spanish or Tagalog

Duties:
- Manage and maintain calendars, scheduling appointments, meetings, and events
- Coordinate travel arrangements, including flights, accommodations, and transportation
- Perform general office duties such as answering phone calls, responding to emails, and handling correspondence
- Provide exceptional customer service to clients and visitors
- Assist with proofreading documents and ensuring accuracy
- Maintain and organize files, both physical and digital
- Support office management by ordering supplies and maintaining inventory
- Handle confidential information with discretion

Qualifications:
- Proven experience as a Personal Assistant or in a similar role
- Strong computer literacy skills, including proficiency in Microsoft Office (Word, Excel, PowerPoint) and Outlook Calendar
- Excellent organizational skills with the ability to multitask and prioritize tasks effectively
- Exceptional attention to detail and accuracy
- Strong written and verbal communication skills
- Ability to work independently with minimal supervision
- Professional demeanor with excellent interpersonal skills

Job Type: Part-time

Pay: $16.00 - $25.00 per hour

Expected hours: 5 per week
