Education/experience Education, training or experience in administrative support or a business-related field preferred.
Job Summary Reporting directly to the Associate Vice President of Strategic Communications, the Administrative Assistant will work independently to provide administrative assistance; schedule meetings; coordinate travel; manage projects and coordinate project resources and activities; prepare sensitive documents; manage AVP and team schedules; facilitate the processing of vendor contracts and invoices; handle confidential information with discretion; possess strong interpersonal, written and communication skills; demonstrate attention to detail and affinity for solving problems; possess strong organizational and time management skills.
Required Qualifications - Experience in a secretarial or administrative role.
- Effective interpersonal, written and oral communication skills.
- Good attention to detail along with strong organizational and time management skills.
- Sound judgment and problem-solving abilities.
- Ability to work independently and as a team member.
- Competencies in planning and scheduling, preparing reports and presentations, compiling correspondence, and monitoring budgets and personnel documents.
- Demonstrated proficiency in current computer software applications in word processing, spreadsheets, database and presentation software, such as Microsoft Word, Excel and PowerPoint.
- Experience with calendaring in Microsoft Outlook or other scheduling systems.
- Ability to learn new applications and software as needed.
- Ability to work with a diverse group of stakeholders.
- Proven interpersonal skills with experience providing complex administrative support in a high-profile environment with confidentiality, tact and diplomacy.
- Ability to manage multiple projects simultaneously while producing quality work.
- Experience regarding financial and budget systems.
- Experience researching and preparing confidential and sensitive documents.
Additional Considerations - Experience in fast-paced marketing and communication offices within higher education, corporate or governmental setting is highly desirable.
- Experience in administrative support positions requiring solid knowledge, skill and abilities in project management software such as Lytho, Basecamp or Hive.
- Knowledge of state and university policies and procedures.
- Working knowledge of Banner and eVA.
Hiring Range Starting at $38,000 (Pay Band 3)
