Kaempf & Harris fabricates more than 500 tons of metal every year, including aluminum, custom stainless steel, galvanized steel and black iron steel. Our team of 60 skilled professionals has unparalleled industry experience and utilizes our fully modernized, 15,000-square-foot facility that features the latest and greatest fabrication technology.

Office Manager Job Summary:

K & H is growing and seeking a professional, energetic, friendly, organized, engaging person, who is able to multi-task and wants to learn new skills. We take this role very seriously and are offering opportunities for energetic people looking to make a difference. it is essential that an applicant has excellent communication and interpersonal skills, pays attention to detail, and maintains a high level of professionalism at all times. The Office Manager is the first point of contact for Kaempf & Harris staff and clients.

Primary Job Responsibilities:

  • Manages on-time and accurately employee vacation log, payroll for shop and field employees including exempt (hourly) and non-exempt staff.
  • Enters weekly log inputs and monitors employee attendance.
  • Prepares invoices for materials and Kaemp & Harris Project Managers.
  • Scans and E-Mails AIA Billings to Clients.
  • Sets Up New Projects from Budget and new job folders.
  • Answers telephone calls and emails professionally and with a sense of urgency directs them to relevant staff.
  • Greets all front door and walk-ins with a friendly professional attitude.
  • Inputs Mileage of Foreman and Management.
  • Orders Office Supplies, Business Cards, and all office related requests.
  • Processes Accounts Receivables Notifies Accounting Immediately.
  • Ready Fresh Deliveries.
  • Assists Shop Superintendent with Inventory.
  • Enters Schedule of Values.
  • Inputs Mileage of Foreman and Management.
  • Inputs Change Orders and Recaps.
  • Supports the full life cycle of onboarding of new employees including scheduling interviews and first day new employee HR packets.
  • Other duties as assigned.

Requirements:

  • Requires a High School Diploma or equivalent and a minimum of three years or professional office experience or a bachelor’s degree with 1 year of office clerical experience.
  • Must have basic computer skills including proficiency with MS Office Suite and Sage Construction software a plus.
  • Experience with data entry, creating invoices, processing payroll and time sheets preferred.
  • Proven experience exercising independent judgment in performing and executing duties both independently and with others.
  • Excellent organizational, interpersonal, and communication skills (both written and oral).
  • task oriented, organized and is a “roll-up- your sleeves”, hands on leader and team player.
  • Must be able to prioritize assignment, multi-task to meet deadlines, be dependable with consistent attention to detail and a sense of urgency.
  • Effective listener.
  • Cool under pressure especially during peak workload times and tight deadlines.

Job Type: Hourly full-time

Salary: $20.00 - $25.00 per hour
