Pulitzer Arts Foundation is Hiring an Assistant Registrar Near St. Louis, MO

Assistant Registrar
The Assistant Registrar is responsible for assisting the Registrar with a broad range of registration functions. Primary duties include overseeing the care and maintenance of artwork in the building and the Pulitzer campus; coordinating logistics for incoming and outgoing loans; and maintaining database records for loans, exhibition and shipments. The Assistant Registrar will also contribute to the department by working with the Director of Registration and Exhibition Management and the Director of Exhibition Design and Installation to create detailed schedules and budgets for installation and de-installation of exhibitions in the Pulitzer galleries.
Reports to: Director of Registration and Exhibition Management
Status: Full-time/ Non-exempt

Compensation, Benefits, and Perks

The Pulitzer Arts Foundation offers a competitive minimum annual salary range of $48,550 commensurate with experience. Position Responsibilities
  • Assist the Registrar in coordinating logistical arrangements for exhibition loans
  • Work closely with the Curatorial and Exhibition Installation departments throughout the exhibition planning process
  • Produce exhibition-related documentation including loan forms, certificates of insurance, contracts, receipts, shipping forms, etc.
  • Assist with the creation of detailed exhibition budgets and exhibition installation schedules installation schedules, and de-installation schedules
  • Ensure the safe handling of works of art during the installation and de-installation process as required by lenders
  • Complete condition reports for incoming and outgoing loans
  • Coordinate travel, hotel and per diem arrangements as required by the lender for couriers
  • Ensure compliance with all lender requirements (light levels, temperature/ humidity, security, display and safety, etc.)
  • Perform regular condition checks on artworks in the galleries
  • Work with Programming and Visitor Services Developments to coordinate events in the galleries
  • Maintain open communication and contact with lenders and respond to all loan-related needs in a timely manner
  • Prepare Pulitzer loan agreements as requested by curatorial department
  • Assist with the review and negotiation terms of loan contracts with lenders
  • Create and maintain database records (and archival paper files) for loans, exhibitions, shipments, etc., including tracking all location changes
  • Maintain image files, captions, records, and storage for all crates and travel frame
  • Acquire object images from lenders/lending institutions and secure reproduction rights
  • Work with Curatorial department and design companies on images/captions/photography credits for print catalogues and website
  • Maintain compliance/renew rights for archived images on Pulitzer website
  • Oversee and maintain institutional archive
  • Maintain a general knowledge of image rights and reproductions in the museum industry

Preferred Background and Skills
  • Bachelor’s degree in art history or museum studies preferred or, previous museum registration experience preferred
  • Knowledge of best practices in object handling, crating and shipping, insurance, and conservation
  • Project management skills with a strong attention to detail
  • Experience with budgeting and financial planning processes preferred but not required
  • Strict adherence to professional ethics and a high standard of care and security
  • Evident practice of a high level of confidentiality
  • Ability to work independently and interdepartmentally
  • Strong written and oral communication skills
  • Proficiency in TMS database software, knowledge of image acquisitions, and experience with securing image rights is preferred
