Proud Moments is Hiring an Office Coordinator/Front Desk Receptionist Near New York, NY

Overview

Proud Moments ABA seeks a friendly, organized individual with a passion for creating first impressions for our open Office Coordinator/Front Desk Receptionist role at our corporate office. The Office Coordinator/Front Desk Receptionist will staff our front desk area and be the first point of contact for Proud Moments ABA. Duties will include offering administrative support across the organization, welcoming guests, and greeting people who visit our office. The Receptionist will be responsible for incoming calls, incoming and outgoing mail, and ensure that the office area, including the pantry, is kept stocked and neat.

Proud Moments ABA is a behavioral health organization, providing the gold standard of Applied Behavior Analysis (ABA) services for children on the autism spectrum from birth to age 21. Proud Moments is a haven of knowledge and expertise for parents of children diagnosed on the autism spectrum. We offer expert treatment, innovative techniques, and compassionate, child-centered care.

Responsibilities

As an Office Coordinator/Front Desk Receptionist at Proud Moments ABA, you'll be challenged to realize your potential:

  • Provide basic and accurate information in-person and via phone/email.
  • Receive, sort, and distribute daily mail/deliveries.
  • Collaborate with building management to maintain office security by following safety procedures and controlling access to our office.
  • Answer, screen and forward incoming phone calls.
  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office.
  • Answer inquiries related to verifications of employment and respond to unemployment claims.
  • Aid our clinical team with CEU process.
  • Ensure reception area is tidy and presentable, with all necessary materials.
  • Order office supplies and keep inventory of stock.
  • Perform other clerical receptionist duties such as scanning, photocopying, and faxing.

Qualifications

As an ideal candidate, you bring to Proud Moments ABA:

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite.
  • Hands-on experience with office equipment (e.g. fax machines and printers).
  • Solid written and verbal communication skills.
  • Ability to be resourceful and proactive when issues arise.
  • Excellent organizational skills.
  • Multitasking and time-management skills, with the ability to prioritize tasks.
  • Customer service attitude.
  • High school diploma or equivalent.
