Accountability: Accountable to Human Resources Director
Position Summary: The HR Support Specialist is responsible for overseeing and ensuring the integrity of HR processes and compliance within the organization. This position will support the HR Director, by managing the administrative and regulatory aspects of HR. The ideal candidate will possess strong attention to detail, excellent organizational skills, and a deep understanding of HR policies and procedures.
Duties/Responsibilities:
• HR Processes and Compliance:
• Develop, implement, interpret and explain HR policies and procedures to ensure
compliance with local, state, and federal laws and regulations.
• Conduct regular audits of HR activities to ensure compliance and identify areas for
improvement.
• Maintain accurate and up-to-date HR files and records in accordance with legal
requirements and organizational policies.
• Monitor the adherence to internal HR policies and procedures across the
organization to ensure consistency and fairness in employee treatment and
practices.
• Employee Life Cycle:
• Oversee the recruitment and onboarding process to ensure a seamless integration of new
hires.
• Manage the performance appraisal process, ensuring it is conducted fairly and
consistently across all departments.
• Handle disciplinary matters in accordance with company policy and legal standards with
support from HR Director.
• Schedule or administer drug tests for current or prospective employees.
• Coordinate the separation of employment process with support from the HR Director,
ensuring all legal and internal procedures are followed, and that exits are handled with
dignity and respect.
• Support to HR Director:
• Assist the HR Director with preparing reports and presentations for management and
board meetings.
• Manage scheduling, correspondence, and communications related to HR initiatives on
behalf of the HR Director.
• Act as a point of contact for HR-related queries within the organization, ensuring that
issues are resolved in accordance with company policies and legal standards.
• Operational Excellence:
• Coordinate HR projects (meetings, training, surveys etc.) and take minutes.
• Assist in payroll preparation by providing relevant data, like absences, bonus and leaves.
• Provide management with information or training related to interviewing, performance
appraisals, counseling techniques, or documentation of performance issues.
• In collaboration with IT, implement and oversee technology solutions that automate and
optimize routine tasks and HR workflows.
Qualifications:
• Associate’s degree in Human Resources, Business Administration, or related field with 2-5
years of experience in HR, particularly in roles focused on compliance and process management. -OR- An additional 2 years of HR experience in a management role could be considered the equivalent of an Associate's degree.
• Strong knowledge of employment laws and regulations.
• Excellent organizational and time management skills.
• Ability to handle data with confidentiality.
• Great interpersonal and communication skills.
Preferred Skills:
• HR certification (e.g., SHRM-CP, PHR).
• Experience with HRMS/HRIS systems.
• Strong communication skills including speaking, writing and instructing in ways that convey information effectively.
• Analytical and problem-solving abilities.
Working Conditions:
• Primarily in-office settings, Monday through Friday; 8:30-4:30
• Occasional overtime may be required to meet project deadlines or handle compliance
issues.
