Job Title: Project Coordinator (U.S. & Sierra Leone Offices)
Job Description: We are seeking a highly organized and detail-oriented individual to join our team as a Project Coordinator. In this role, you will be pivotal in managing projects, coordinating tasks, and providing essential administrative support for the U.S. and Sierra Leone-based offices. Your contributions will be instrumental in driving our organization's success and fulfilling our mission.
Responsibilities:
Project Management:
● Utilize Asana to manage projects and tasks, ensuring effective communication and follow-up with the SL and US teams.
● Collaborate with clients to draft meeting agendas and coordinate project-related discussions.
● Conduct weekly meetings with me to review project progress and priorities and facilitate team meetings to discuss two-week tasks.
● Monitor project timelines and deliverables, identifying and addressing potential issues or bottlenecks.
● Coordinate resources and logistics for project implementation, ensuring smooth execution and deadline adherence.
● Prepare project reports and presentations, summarizing key findings and outcomes.
Internal Tasks:
● Assist in organizing and maintaining bids and bid subtasks in Asana.
● Support the development of relationship cultivation strategies, including following up with prospects (both US and SL-based).
● Arrange meetings and interviews, ensuring all logistical details are coordinated.
● Plan and coordinate field activities, ensuring smooth execution and adherence to timelines.
● Conduct research and gather data to support project planning and decision-making.
● Prepare and distribute project-related documentation, including meeting minutes and progress reports.
Requirements:
● Excellent organizational and time management skills, with the ability to handle multiple tasks and prioritize effectively.
● Proficiency in using project management tools, particularly Asana.
● Strong attention to detail and accuracy in handling administrative tasks.
● Exceptional communication skills, both written and verbal.
● Ability to work independently and collaboratively within a team.
● Prior experience in project management or administrative roles is preferred.
