The Program Coordinator provides support to the Program Administrator by coordinating all aspects of the Early Intervention program. The program has over 70 staff serving approximately 1600 preschool children with special needs across several hundred sites within the city. This position requires someone with exceptionally strong skills in the organization of multiple, complex office and paperwork procedures, and the ability to make appropriate decisions in conjunction with administration concerning daily issues and concerns. The position requires excellent interpersonal, organizational, written, and oral communication skills in a very demanding environment. Attention to detail and confidentiality are essential.

Qualifications
Bachelor's degree in Education or 10 year?s experience working in a special education preschool program.

Essential Job Functions
- Assists in coordinating the day-to-day office management and functioning to support staff, families, district offices, and community partners.

- Knowledge of state and federal special education/early intervention regulations.

- Coordinates transportation for children who need to be transported within the program. Duties include working with teachers/parents to submit transportation requests to the district transportation office, distributing routing information, maintaining a transportation database, working with car seat technicians to ensure families have appropriate car seats if needed, and problem-solving issues with EI leadership and the district transportation office on a daily basis.

- Work with EI leadership to coordinate the EI summer program. Duties include: Obtaining building permits, working with HR on postings and hiring staff, submitting the summer program information for board approval, creating a staff assignment chart, setting up summer transportation, submitting payroll information to HR, working with Approved Private Schools to support the EI students enrolled in their programs, and provides families with summer program information.

- Prepares and submits items for approval in BoardDocs annually and as needed.

- Coordinates the contract process with the district law office and the contractors. Processes contract/invoice payments as well as travel requests/expense reports as needed. Reviews/submits staff mileage claims through Munis every month.

- Maintains numerous databases to keep the program in compliance with OCDEL regulations including: Mandated Child Abuse Reporting, licensures for staff as well as credentials and clearances for all contracted staff, contract payment tracking, Paraprofessional 20-hour PD requirement; and CPR/First Aid for required staff

- Revises/updates the EI Policies and Procedures Staff Manual as needed. Creates the EI calendar each year.

- Coordinates and problem-solves all technology needs/issues for staff and students.

- Participates in LICC (Local Interagency Coordinating Council) meetings regularly.

- Coordinates hiring of new staff/sets up interviews. Provides new staff orientation.

- Supports EI leadership during state audits including updating and maintaining multiple audit binders, regularly.

- Supports EI leadership with the yearly OCDEL Quality Enhancement Plan implementation.

- Supports the Fiscal Manager with staffing and financial matters, processes Time and Effort Reports and EI/School Age Billing. Updates EI organization and EI position charts. Creates and maintains PD training hour database for fiscal reporting.

- Proficient in Microsoft Office applications, BoardDocs as well as district financial and student data programs.

- Additional duties as assigned by the program administrator.
