PHMC is Hiring an Operations Coordinator-FAWN (Part-Time) Near Philadelphia, PA

Job Overview:

The part time operations coordinator for the Food And Wellness Network at Turning Points for Children handles purchasing and storage of food and supplies; requests for service; greeting clients during program hours, collection of intake information; data management; production of packages for families; generating required reports; and providing additional support and data on an as needed basis. They act as the on site task manager for all volunteers while at the pantry. This is a part time role, coordinating on-site operations at one of FAWN’s pantry locations at either the Rising Sun Health Center or Tilden Middle School. Reports to the FAWN Program Director.

Responsibilities:

Food Distribution

  • Manages on site operations for one FAWN pantry and liaises with site contacts when relevant.
  • Orders food weekly, accepts deliveries and assists with restocking of supplies including the breakdown of large volume purchases.
  • Coordinates the packing of bags for other Turning Points programs and partners.
  • Assists with calls to FAWN inquiring about the program; collecting intake data including name, number of family members, need, etc.; determines eligibility; schedules pantry appointments.
  • Greets clients during distribution hours and ensures that all clients have completed intake prior to receiving pantry resources, if relevant.
  • Collects and records data for FAWN (food purchased; donations received; households served; food distributed, etc.).
  • Participates in arranging deliveries of in-kind donations to FAWN, sorting donations, and arranges for distribution of donations to FAWN clients as appropriate.
  • Coordinates logistics for pop-up pantries when relevant.

Volunteers

  • Supports recruitment of a volunteer base to support pantry operations including unloading and storing food donations, stocking pantry shelves, and staffing the pantry during open hours.
  • Monitors, coordinates and manages volunteers at FAWN pantry including facilitating meetings and trainings.
  • Orients new volunteers to all TPFC and FAWN pantry policies, procedures and expectations.

Program Support

  • Supports health and wellness education for the pantry population, including facilitating or inviting partner organizations to facilitate workshops.
  • Supports partnerships with institutions, organizations, and programs that can provide resources and tools to FAWN clients based on their needs.
  • Develops social media content and communication material for FAWN.

Administrative

  • Attends mandatory training programs provided by Philabundance.
  • Reports any problems / risk management issues to FAWN Program Director.
  • Participates in staff meetings, team meetings, and supervisory meetings as scheduled.
  • Participates in Quality Improvement process and training activities.
  • Maintains coherence with Turning Points for Children’s vision, mission, and goals.
  • Maintains the highest ethical standards in organizational operations and individual professional conduct.
  • Performs other duties and projects as assigned by supervisor or executive management.

Skills:

  • Ability to assist both English and Spanish speaking consumers. Bilingual preferred.
  • Good organizational and interpersonal skills.

  • Comfortable with conflict management and having difficult conversations.

  • Completes paperwork and other responsibilities in a timely and accurate manner, maintains organized work environment.
  • Ability to improve processes and systems while facilitating input and suggestions from others; finds the best approach to get the work done.
  • Culturally sensitive to the needs and diversities of multi-cultural communities.
  • Able to meet the physical requirements of the position (managing food loading, storage and preparing food bags).

Experience:

Minimum 1 year experience with volunteering, hunger relief, food services or social services.
