Job Description Summary
This person is a member of the Wharton Undergraduate Division operations and communications team and is responsible for ensuring smooth and efficient operations of the Undergraduate Division. Duties include budgeting for and ordering supplies, placing service requests, maintaining office spaces, and supervising student peer advisors at the front desk This person also assists with updating websites, pulling student reports, and planning and implementing Division events and programs.
Job Description
DUTIES
Responsibilities include but are not limited to the following:
Manage front-desk/reception-area operations, including hiring, training, scheduling, and supervision of student workers/peer advisors (PAs) to ensure consistent front-desk coverage. Serve as receptionist when student workers are not available, e.g., during school breaks.
Monitor and track office-operations budget and expenditures; order office and kitchen supplies; develop, document, and communicate office policies and procedures; organize and maintain reception area, storage, and kitchen spaces; place service requests for equipment, technology, and facilities issues.
Provide planning and logistical support for Division meetings, programs, and events. Duties include planning and idea generation, scheduling, researching and reserving venues and catering, and ordering supplies and promotional materials.
Coordinate faculty and PhD lunch & learn programs. Duties include serving as restaurant liaison, managing program budget, processing requests/invoices, and tracking student participation.
Assist with updating Division websites and with pulling student records and other reports as needed to support Division programs and operations.
QUALIFICATIONS
Required:
H.S. Diploma or GED Required, with 5-7 years of related experience or equivalent combination of education and experience.
Prior experience with event planning, administrative/project coordination, and office operations
Proficient in use of MS Office (PowerPoint, Excel, Word, Outlook)
Exceptional organizational skills and attention to detail
Proactive and flexible; can adjust to changing priorities and needs
Strong oral and written communication skills
Superior customer service skills with the ability to interact professionally with students, faculty, administrators, and other guests
Preferred:
An Associate's Degree and 3 to 5 years of experience or equivalent education and experience
Experience working in a college or university setting
Experience with basic website editing and HTML
Experience with Penn systems (Ben Financials, Concur) and knowledge of University policies and procedures
