GENERAL DESCRIPTION
Provide administrative and team support by exercising initiative and judgment and using professional skills to accomplish the objectives of PediPlace. This administrative professional works in a team environment and adds direct administrative and project support and support to the President and CEO and the Chief Engagement Officer.
ESSENTIAL DUTIES AND RESPONSIBILITIES
▪Perform administrative support for President and CEO including but not limited to preparation of external and internal correspondence, scheduling, and file administration
▪Assist in the communication and coordination of board of directors and committee meetings, materials, events, and preparation of minutes
▪Coordinate meeting arrangements and prepare materials for team meetings, new employee and volunteer welcome programs and orientations, and others as requested
▪Prepare and maintain personnel files, and the administration of employee and volunteer criminal background checks
▪Coordinate office and non-medical supply purchasing
▪Prepare and maintain agency monthly and annual program outcome reports
▪Provide program assistance to PediPlace’s fundraising efforts including correspondence, file administration, grant tracking, fundraising database management and event staffing
▪Maintain and administer mailing lists, donor database records including gift entry, updates, queries, data merges, etc. to meet agency objectives
▪Administer requests to volunteer at PediPlace, communicate with volunteers regarding placement, track and report service hours
▪Maintain PediPlace social media presence, monitor external postings, promote PediPlace’s mission through posting of text, pictures, blog posts etc.
▪Assist the development of PediPlace creative work product for general print materials, annual report, and other electronic messaging
▪Provide backup support to PediPlace’s business office and patient services as needed, and assist with other tasks and projects as needed to ensure the success of PediPlace programs and operations
QUALIFICATIONS AND SKILLS
•High School Diploma/GED required; college degree or certification preferred
•3-5 years administrative experience required
•Must possess good organizational skills, and have the ability to simultaneously work on multiple projects and tasks
•Intermediate level proficiency with MS Windows, Word, and Excel, Outlook, and PowerPoint. Proficiency with MS Publisher, Adobe Creative Suite, QuickBooks, and E-Tapestry is helpful
•Excellent knowledge of office automation including email and internet usage
•Competency in utilizing social media
•Must possess strong interpersonal and written communication skills. A clear and pleasant voice and the ability to exhibit good telephone communication is necessary
•Individual should be resourceful, detail-oriented, and flexible; possessing tact, good judgement and the ability to work as a team member with staff, community professionals, and with volunteers
•Ensure accuracy and confidentiality in all work
•Must possess reliable transportation, be available for PediPlace standard work day and occasional weekend or evening hours, and be able to lift 20 lbs.
