Pawnee Waste a cutting-edge solid waste landfill facility specially designed for the safe and ecological handling, processing and disposal of both conventional and specialized waste streams is hiring.

POSITION SUMMARY:

The Administrative Support Specialist oversees a variety of administrative duties and aids with sales and operations to achieve Company goals and objectives. As a dedicated customer liaison, providing positive support, and serving as a reliable point of reference for the team this position routinely interacts with co-workers, customers, and vendors. This role is non- supervisory and under the direct supervision of the Administrative Director.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Processes and completes new customer account setup, ensuring accuracy and timeliness.
  • Maintain event calendar and keep all necessary team members informed of upcoming events and deadlines.
  • Generate customer and inter-company reports as needed.
  • Respond to customer inquiries/complaints timely, by phone, email, or in person as needed.
  • Order and maintain inventory of necessary supplies for customers, and scheduled events.
  • Serve as back-up coverage for Sales and on-call duties as needed.
  • Maintain thorough notes and keep immediate supervisor fully informed of all matters/issues requiring his/her attention.
  • Become proficient in the overall waste acceptance and daily scale ticket maintenance processes.
  • Handle daily accounts receivable activities, including but not limited to: Invoicing, OpenInvoice, and customer portal submissions.
  • Performs other duties as assigned or required.

MINIMUM REQUIREMENTS/SKILLS REQUIRED:

  • 3 years of customer service, or in other relevant administrative positions experience preferred.
  • Strong interpersonal, written, and verbal communication skills.
  • Well-organized with the ability to handle multiple projects and assignments.
  • High level of dedication, team player, ability to handle sensitive information and maintain confidentiality.
  • Strong computer skills and proficiency in Microsoft Office/Suite applications.

REQUIRED TRAINING:

  • Depending on the individual’s background and experience, additional training in landfill operation fundamentals may be required. In addition, this role will require recurring recertification training and/or other relevant continuing education or training courses as determined appropriate by Pawnee.

WORKING CONDITIONS/PHYSICAL DEMANDS:

  • Work is performed primarily in an office environment, must be able to sit at a computer for extended periods of time.
  • Required to use motor coordination with finger dexterity (such as keyboarding, machine operation, etc.), bending, kneeling, and stretching as part of the workday.
  • Works overtime, weekends, and holidays as assigned or otherwise required.
  • Ability to lift up to 30 pounds on occasion.
  • The noise environment may occasionally be moderate to loud.
  • May occasionally be exposed to physical occupational risks (such as cuts, burns, exposure to toxic chemicals, etc.)

Job Type: Full-time

Pay: $50,000.00 - $60,000.00 per year
