Job Summary:

We are looking for a detail-oriented and organized Administrative Assistant to provide vital administrative support to our team at Pacific Medical Resources, INC. The successful candidate will play a critical role in maintaining efficient office operations, managing administrative tasks, and providing assistance to various departments within the organization. The ideal candidate will possess basic knowledge of bookkeeping principles and having a background in human resources is a major plus, which will be advantageous in handling specific tasks and responsibilities.

Responsibilities:

  • Provide comprehensive administrative support to the management team and staff, ensuring smooth daily operations.
  • Assist COO with bookkeeping tasks, such as sending monthly invoices, filling out billing forms, and other billing related task.
  • Collaborate with the HR department to support recruitment activities, including scheduling interviews, maintaining applicant records, and assisting with new employee onboarding.
  • Prepare and maintain accurate documentation, reports, and correspondence, ensuring confidentiality and professionalism.
  • Assist with general office tasks, such as answering phone calls, managing correspondence, and maintaining office supplies.
  • Maintain electronic and physical filing systems, ensuring documents are organized and easily accessible.
  • Handle various administrative projects and tasks as assigned by supervisors.

Requirements:

  • High school diploma or equivalent; additional certifications or coursework in administration or related fields is a plus.
  • Proven experience as an Administrative Assistant or in a similar role.
  • Strong organizational and time management skills, with the ability to prioritize tasks and work efficiently in a fast-paced environment.
  • Proficiency in bookkeeping principles, including knowledge of basic accounting procedures is desired.
  • Familiarity with human resources processes and practices is preferred.
  • Excellent verbal and written communication skills.
  • Proficient in using Google Suites (Google Docs, Google Sheets, etc.).
  • Ability to handle sensitive and confidential information with integrity.
  • Strong attention to detail and accuracy.
  • Exceptional interpersonal skills and the ability to work collaboratively with a diverse team.
  • Flexibility and adaptability to changing priorities and deadlines.
