Personal Assistant for Investment Company CEO
About Us:
Located in Downtown Long Beach, Oz Company is a private equity investment company that specializes in identifying and capitalizing on unique investment opportunities. Our team is comprised of professionals dedicated to delivering exceptional results and care for our investors and companies. We are a family style office with a California business casual dress code.
Our CEO is in need of a highly organized and detail-oriented personal assistant to provide support with his business and personal matters. He is a family oriented business man with tremendous care and pride in his client relationships.
The ideal candidate for this position needs to be comfortable speaking with investors over the phone to give updates when they call in.
Responsibilities:
1. Executive Support:
- Manage executives' calendars, schedule meetings, and coordinate appointments.
- Act as the primary point of contact between executives and internal/external stakeholders.
2. Communication and Correspondence:
- Draft and proofread emails, memos, reports, and other documents.
- Handle incoming calls and correspondence, redirecting and responding as necessary.
3. Travel Coordination:
- Arrange and coordinate travel plans, including flights, accommodations, and ground transportation.
- Prepare detailed itineraries and ensure executives are well-prepared for business trips and family vacations.
4. Document Management:
- Organize and maintain both physical and electronic files, ensuring confidentiality and easy retrieval.
- Assist in the preparation of presentations and reports.
5. Meeting Support:
- Attend meetings, take notes, and distribute relevant materials.
- Coordinate logistics for internal and external meetings.
7. Ad-hoc Tasks:
- Assist with various ad-hoc projects and tasks as assigned by executives.
- Handle personal tasks for executives as needed.
Qualifications:
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in ALL Microsoft Office Suite:
- Proficiency using Slack, Zoom, and project management software.
- Ability to handle sensitive information with confidentiality and discretion.
- Great phone skills
- Detail-oriented and proactive problem solver.
- Flexibility to adapt to a fast-paced and dynamic work environment.
- Bachelor's degree required.
