We are looking for a highly motivated Assistant Property Manager (APM) to join our team in Emeryville CA. Reporting to the Property Manager, this role provides key support to the property management team in the day-to-day operations, providing outstanding service to tenants and customers.

As a member of this team, you will be responsible for:

Tenant Relationship Management

  • Establish ongoing relationships to understand tenant needs, concerns and contribute to resolutions
  • Ensure prompt and courteous attention to tenant requests
  • Oversee scheduling of tenant events and meetings
  • Maintain vacant suites to Oxford’s standard and assist the leasing team as required

Operations

  • Provide day to day operations management of the property.
  • Ensure quality of operating services, both internal (i.e. engineering) and third party (i.e. security, janitorial).
  • Perform regular property inspections at various times/days
  • Manage building vendors including but not limited to cleaning, security, elevator and pest control and attend monthly/weekly meetings with vendors
  • Oversee work order management process, monitor work order trends and communication with team to develop action plans as needed
  • Assist in the solicitation of bids from vendors and the awarding of contracts for work performed in the building. Maintain a working knowledge of all vendor contacts and ensure compliance with all financial and insurance terms as per Oxford service contracts
  • Support Leasing as directed by PM. Interpret leases and ensure requirements are adhered to
  • Assure life safety programs are in place and meet all company guidelines and legal requirements for tenants and employees

Financial

  • Assist with creation of property budgets
  • Review monthly and YTD GL and complete monthly accruals
  • Review and complete monthly variance reports and assist with quarterly forecasts
  • Assist PM with Operating Expense and Real Estate Tax prebills and final billings
  • Manage work order and utility billings, and manage rent statements

To succeed in this role, you:

  • 3-5 years’ experience in Property Management Required
  • Experience in a retail environment and enrollment in RPA/CSM is an asset
  • Strong computer skills and knowledge of MS Office required, basic knowledge of JDE preferred
  • Demonstrates analytical decision-making and customer service skills
  • Strong interpersonal skills are required to build relationships with tenant

As required by California state and local law, OMERS & Oxford provides base salary ranges for all roles that are externally or internally advertised in California. The base salary that is ultimately offered to the successful candidate will consider a wide array of factors including but not limited to the individual’s skill set.

For California , the annualized base salary range for employees who can or will physically perform this role in California, either in whole or in part, or will otherwise report to a supervisor, office or other worksite in California is expected to be between $70,000 and $100,000.

You may also be eligible to receive an annual Incentive Award which includes Short-term Incentive and Long-Term Incentive, benefits, pension – details on these elements of compensation are included within OMERS & Oxford offer letters.
