Benefits to You

Position Highlights

The Lincoln County Circuit Court in Newport, Oregon, is hiring a Judicial Assistant (Court Operations Specialist) to support the Honorable Amanda Benjamin.

In this role, you will provide administrative support to the judge by scheduling hearings and trials, maintaining multiple calendars, performing data entry, and managing the judicial caseload. You will process mail and prepare, process, and route a variety of court documents, including judicial correspondence, memoranda, reports, court orders, and opinions. You will also review documents for accuracy and completeness before scanning them into the court’s electronic case management system.

Customer service is a key part of the job. Whether in the courtroom or in chambers, you will help judges, court staff, attorneys, corrections staff, elected officials, and the public in person and over the phone. You will also update defendants’ contact information, prevent ex parte communication with the judge, facilitate remote hearings as needed, and answer general questions about court procedures and the status of cases. Part of your time will be spent training new staff and providing coverage for court clerks during court proceedings, which includes recording proceedings and helping jurors.

Assigned tasks may be changed to accommodate workload and organizational needs.

Minimum Qualifications

The qualified candidate must have a high school diploma or equivalent.

AND

Four (4) years of responsible administrative experience in a moderately complex office or business setting demonstrating the knowledge, skills, and abilities needed for this position.

OR

Any combination of education and experience equivalent to four (4) years of experience that typically supports the knowledge, skills, and abilities for the position.

  • Experience performing a variety of clerical or administrative support tasks, with strict deadlines in a busy business or professional setting.
  • Experience using a variety of software programs to access and input information and complete various tasks.
  • Experience coordinating schedules and maintaining calendars.
  • Skill demonstrating tact and diplomacy when providing customer service to a variety of individuals in challenging circumstances.
  • Skill in writing and reviewing documents for accuracy, content, grammar, and punctuation.
  • Experience identifying, handling, and securing confidential information and materials.

Working Conditions

  • This is a full-time position, and the work schedule currently is 8:00 a.m. to 5:00 p.m. Monday through Friday. It is eligible for overtime compensation for hours worked in excess of 40 per workweek.
  • Occasional after-hours or overtime work may be required.
  • Frequent phone and in-person contact with people from diverse backgrounds.
  • Frequent phone and in-person contact with people who may be facing challenging life circumstances, highly stressful situations, or trauma, including people who may be confrontational, argumentative, emotional, hostile, uncooperative, or physically ill.
  • Long periods of sitting or standing.
  • Must be able to pull, bend, twist, and lift up to 25 pounds.
  • Regular use of the following equipment: electronic recording equipment, telephone, OJD-assigned computer with multiple monitors, copy machine, fax machine, and scanner.
