Openwork is Hiring an Office Administrator Near Spartanburg, SC

Administrative - Administration & Customer Relations:
A successful candidate will be responsible for providing outstanding service to customers and providing administrative support to the engineering team and outside sales team. This candidate will be tasked with improving customer relations and general administration, accelerating the selling of fluid process solutions to customers in the industrial market.
OVERARCHING DUTIES AND RESPONSIBILITIES:Provide support to colleagues and customers and be willing to perform any task to the best of one’s abilities.
ESSENTIAL DUTIES AND RESPONSIBILITIES:To perform this job successfully an individual must be able to perform each essential duty satisfactorily within the company.
  • Communicate effectively with suppliers, current, and future customers.
  • Inform customers of pricing, back orders, delivery, delayed shipments, and any other problems related to the order process.
  • Collect data and information needed for management reports and meetings.
  • Follow the order backlog and solve abnormalities with the order taker, purchasing, and accounting associates.
  • Prepare margin analysis reports for ongoing and completed fabrication reports.
  • Prepare and send out engineering submittal packages to customers.
  • Enter all pertinent data into the computer system to prepare sales orders.
  • Coordinate department meetings and functions and schedule accordingly.
  • Engage in payroll and HR functions such as timesheets and vacation schedules.
  • Participate in inventory functions and lead the year-end fiscal inventory count.
  • Pull and stage inventory parts when necessary.
  • Track orders and outbound freight and provide status updates.
  • Invoice customers within the business enterprise system and or via customers portal.
  • Create bills of lading for outbound freight and coordinate transportation with the shipping/receiving department.
  • Process customer RMAs and provide status updates.
  • Process warranty and outbound freight claims and provide status updates.
  • Check and distribute mail.
  • Maintains office supply inventory.
REQUIREMENTS:
  • The successful candidate must be able to multi-task in various activities with shifting priorities.
  • Candidate must be able to read, create, analyze, and interpret administrative documents covering a broad spectrum of business functions
  • Able to interpret mechanical schematics to support shop repairs and calibrations
  • Have advanced knowledge of producing professional work documents within a company selling world-class products to general industry and confidential government contractors
  • Have excellent interpersonal and communication skills while working in a team environment.
EDUCATION REQUIREMENTS:
A successful candidate must have a strong administrative background and a strong motivation towards professionalism. Candidate must have a minimum of an associate degree in a business management field, or 5 years of experience working within similar roles and responsibilities. A BA or BS degree is preferred.
