Position Summary

As an integrated client facing Senior Project Manager, you are responsible for the operational day-to-day delivery on agency business, becoming wholly trusted and relied upon by your agency team in the running of your account and the agency internal processes.

You manage and umbrella the whole project through initial scoping through to creative execution, studio and production. You will be client facing, with ownership and responsibility for timings, scopes of work, staffing plans, budgets and logistics, becoming the trusted face of delivery. You will refine process, become the backbone of every project and be the client operations expert on every account. You will mentor and support Project Managers.

Responsibilities

Overall project management

  • Lead the planning, communication, organisation, leadership and delivery of the programme of work
  • Produce and oversee project scope, monitor and track scope creep and report incremental scope opportunities
  • Scheduling and attending all creative review meetings, facilitating attendance of key stakeholders and ensuring the meetings start and finish on time with clear deliverables
  • Establish and maintain project and/or program communications through the project
  • Proactive stakeholder management throughout project lifecycle including running internal status meetings and maintenance and approval of all project documentation
  • Partner with production specialists as required, approve production decisions where necessary and maintain oversight of delivery and budget
  • Responsible for building and nurturing new supplier relationships
  • Lead and drive maximum utilisation and recoverability of resource
  • Set up post project review meetings, and gather feedback for internal and external measurement of KPIs
  • Lead the daily internal stand ups
  • Work directly with Account Management, Operations and Finance on development of new scopes and staffing plans
  • Working closely with all departments to define and book resource, having a viewpoint of the skill sets required for the project and what is required from the team
  • Ensuring client expectations are set and met appropriately and fed through the account team structure
  • Ensuring the right people are involved at each key stages of the project
  • Work with all other Project Managers within the team to ensure you are aware of all live projects going through and work with the team to plan and prioritise accordingly
  • Hold regular catch ups with the Account Management team to monitor and control the creative and production workflow on your account(s)
  • Advocate of all internal processes

Finance

  • To produce and be responsible for all fee estimates together with a scope of work document, gaining the relevant approvals before starting the work
  • Ensure the creative teams know how much time they have on a project and keep communication high if the time is not enough, or if we are starting to go over – pre warn on a project, do not wait until the time is spent and we cannot do anything about it
  • Attend weekly financial meetings with the relevant financial controller/account team to review financial status on live projects
  • Reconciliation of every project on completion
  • Ensure that your team and accounts you work on maximise profitability, efficiency and effectiveness, whilst carefully balancing the need to deliver great creative work for our agency and our clients. You set the example to the team

Resource Management

  • Confirm resource for strategy, creative, copy, design and other studio time on the system
  • Lead resource workload management meetings to avoid conflicts and lack of resource
  • Use knowledge of individuals strengths to ensure effective teamwork
  • Ensure the right people are involved at each milestone of the project
  • Lead casting on briefs

Creative

  • Evaluate creative and production against brief, budget, requirements and brand guidelines for client service review
  • Finds cost effective ways to create the desired result through all stages of creative, studio and production
  • Proactive research and sharing of technology and production solutions during the creative development stages to maintain the highest possible creative standards
  • Contributes ideas to improve agency business objectives
  • Working with Creative leads to look for new ways to improve the quality of the work
  • Explores ideas and new approaches with curiosity and open-mindedness

Relationships/Communication

  • The lynch pin of the project
  • To be the calming and motivating influence in the team
  • Be an educator, to improve the wider teams knowledge and skill, thereby improving the talent within the agency
  • Practices and leads collaboration across departments, disciplines and with team
  • Make sure effective agreements are reached quickly and with minimum disruption to workflow
  • Strong negotiation skills with ability to control and report on costs and budgets
  • Risk centric with good knowledge of risk anticipation and mitigation, able to communicate risk status with authority
  • Business level English and German language skills

Management and Leadership

  • Proactively builds relationships inside the agency through participating in internal meetings and events
  • Leads self and positively influences peers
  • Understands the needs and dependencies across agency and client departments, avoids duplication of conversations throughout a project cycle
  • Drives ownership and accountability
  • Mentors and line manages Project Manager(s)
  • Be the calming and motivating influence in the team

Experience & Skills

  • Previous agency experience managing multiple channel projects with solid production knowledge across multiple channels
  • Proven ability at managing agency resources and management of leading teams is essential
  • Strong knowledge of Microsoft Office Suite
  • Ability to lead project and status reviews and status meetings with clients
  • Dependable; a person the team looks to for help, support and mentorship
