Summary of the Position : We are seeking an Executive Assistant to provide executive level administrative support to the Vice President of US Customer Engagement and his team consisting of 2 Sr. Directors and their direct reports.
The position will report directly to the Vice President of US Customer Engagement.
Responsibilities include but are not limited to : - Maintaining executive schedules and calendars, including scheduling across multiple time zones for VP as well as East/West commercial leaders
- Capacity/desire to format weekly performance dashboards and reports
- Establishing and maintaining an accurate and organized file system on SharePoint
- Preparing communications (letters, email, presentations)
- Meeting planning support for VP and East/West commercial leaders’ team events
- Coordinating and tracking constantly changing travel schedules for executives and staff members for domestic and international travel
- Developing and maintaining expense reports
- Ability to effectively communicate and liaise with global stakeholders
- Preparing purchase orders, assistance with invoicing/budgeting and working with the finance department to resolve issues
- Assisting with special projects and research as needed
- Other duties as assigned
Minimum Requirements : - Minimum of 15 years' experience with 5 years supporting senior management
- Exceptional interpersonal skills with anticipative nature. Capacity to identify opportunity to bring innovative value to the team and offer new ideas.
- Strong written and verbal communication skills
- Team player and collaborative personality
- Highly flexible and able to work with ambiguous requirements
- Highly competent, outstanding organizational skills, detail oriented and thorough follow through with capacity to review and prepare light analytic reports
- Must be proactive and experienced in helping manage the business
- Must have advanced knowledge of MS Office and advanced expertise with Word and PowerPoint
- Experience working with sales executives is highly desirable
