Position Title: Director of Auxiliary Programs

FSLA Classification: Exempt/12-month employee
Office: Grade School Campus
POSITION OVERVIEW
The Director of Auxiliary Programs will help with the vision, planning, and execution of all auxiliary programs in support of both campuses. The role will include recruitment, hiring, and training of all support staff for existing programming, including Grade School Extended Day Program (EDP), After School Academies, and Summer School. This position will be responsible for expansion of Summer Camps and programming at the high school and will explore additional opportunities for growth in the community, such as before school care. This position will be responsible for the business matters associated with auxiliary programming.
ESSENTIAL JOB DUTIES
The Director of Auxiliary Programs reports to the Director of Facilities & Operations and is responsible for the management, implementation, and expansion of Notre Dame de Sion’s Extended Day Program (EDP), After School Academies, and Summer School at both the Grade School and High School Campuses
The Director of Auxiliary Programs (DAP) ensures that the Extended Day Program at Sion continue to function at the highest quality, with inclusive and safe programs that engage students outside of the classroom
Take an entrepreneurial approach to design, enhance, and expand program offerings that align with the school’s mission.
The DAP brings their knowledge of learning, education, and childhood development to Sion to ensure the multi-age environment is aligned with the school’s mission, carries over the strongly connected community students feel during the school day, provides a place for play, and builds strong relationships
  • Develop and manage the auxiliary programs budget.
  • Monitor revenues and expenses in accordance with budgetary restrictions.
  • Work with the Director of Finance and Operations to plan and coordinate program budgets and registration.

  • The DAP will provide guidance and supportive management to the EDP staff, building them as informal educators who can manage a multi-age group, both in and out of the classroom
  • Stay abreast of best practices in youth development programming and new developments in independent school auxiliary programs.
  • The DAP will maintain an accurate understanding of the competitive landscape in terms of costs, programming opportunities and offerings. Additionally, the DAP will explore demand for Before School Care.
  • The DAP will create a dynamic and diverse list of classes outside the school day under the umbrellas Academies, Summer Camps, and Pop-Up Camps that utilize faculty first and external contractors second to bring student interests to life in our auxiliary programming, in addition to identifying and implementing new auxiliary opportunities
  • The DAP will work to build alignment in programming for middle school students at the south Kansas City high school campus for girls and work to generate additional opportunities for middle school boys through school partnerships
  • The DAP will act as emergency lead during EDP, Academies, Summer School, and Pop Up Camps and is responsible for educating external contractors and internal staff about appropriate emergency protocols
  • The DAP works closely with the business office and admissions team on billing and registration for all these programs and serves as the parent-facing point of contact for all things auxiliary
  • Work with human resources to ensure all auxiliary staff have completed the onboarding process.
  • The DAP will work closely with the Director of Facilities & Operations, expand extended-day programming to increase revenue through innovative programming for Notre Dame de Sion Schools and broader communities
  • Visualize, design, propose, and plan summer programming that prioritizes student experience and projected revenue
  • Identify and implement new revenue streams through auxiliary programs and work, as appropriate, in coordination with the Athletic Directors and Director of Facilities
  • Edit and update the existing program management manual to document program procedures and policies
  • Evaluate and improve upon systems for efficiency including but not limited to attendance taking, remitting payments, and billing
  • Work with Director of Facilities & Operations and leadership team to determine the goals of extended day programs and secure faculty and/or independent contractors that will reach those goals
  • Develop and provide clear, creative, and fun programming for students during the school year and during SummerCamps, to build safe and inclusive learning environments
  • Produce, execute, and collect contracts and supporting documents for Independent Contractor partners in collaboration with the business office
  • Work with faculty and contractors vendors to create a diverse set of enrichment classes and summer programming for students, informed by community input
  • Collaborate with academic teams to align day and auxiliary programming
  • Liaise with the legal team as needed on contracts, documents, terms and conditions, and other paperwork to mitigate risk and keep these documents compliant and relevant
Daily Tasks
  • Ensure adequate staffing across EDP and Academies, and when in session, Summer School
  • Communicate with enrichment contractors each day they are on campus, and, if necessary, provide immediate support for student needs
  • Have a daily knowledge of students in each enrichment program and provide support as necessary to help students be successful
  • Manage and execute billing and reconciliation of extended day accounts with client experience as top of mind
  • Communicate in a timely manner with parents, contractors, faculty, and staff regarding auxiliary programming
  • Partner closely with the business office and the admissions office to ensure timely payments, invoices, and refunds
  • Perform supervisory duties for recess and lunch as assigned
  • Maintain accurate records of student registration and attendance using Camp Brain
  • Collaborate with various teams on securing program space and logistics
  • Support teachers who are involved in the enrichment program in curriculum development as needed
  • In June and July, the Director of Auxiliary Programs’ responsibilities will require full-time commitment from 7:30 a.m. to 5:30 p.m. while camp is in session
  • Utilizes business acumen to sustainably grow a self-sufficient, profitable auxiliary arm that compliments the day experience of Notre Dame de Sion students and families
  • Recruit, hire, onboard, and train part-time program staff for EDP and Academies
  • Supervise and evaluate program employees, ensuring compliance with school personnel policies.
  • Partner with the advancement office on marketing, communication, website strategies, plans, and implementation to grow programs
  • Manage payments, refunds, credits, and discounts for auxiliary programs through CampBrain, our database management system
  • Explore and manage the sponsorship and advertising of sports programs
QUALIFICATIONS
  • Attention to detail and high-level problem-solving solves
  • Strength in forming internal and external relationships in order to elevate programmatic offerings through vendor relationships and coordination
  • This individual must demonstrate a growth mindset and possess strong verbal and written communication skills
  • Bachelor’s degree required
  • CPR and First Aid training required
  • At least 4 years of teaching experience or experience working with children; working knowledge of child development, education theories and practices and current trends in education
  • Ability to cultivate positive relationships with students of all ages and also manage groups of children effectively; ability to work as a partner with families and our Notre Dame de Sion teaching teams to support children
  • Ability to be creative and assertive with after-school and summer programs
  • Ability and willingness to adjust structures and programs for students' needs
  • Proficiency in Google Suite (especially Google Docs and Sheets), online billing systems and other database systems
  • A sense of integrity and ethics, and an ability to carry out responsibilities in accordance with the school’s policies and procedures
  • Strong organizational skills with an ability to complete tasks in a timely manner in order to move projects forward
PHYSICAL REQUIREMENTS AND WORK ENVIRONMENT
  • Ability to lift and/or move up to 40 pounds
  • Ability to sit at a desk working on a computer for an extended period of time
  • Ability to walk around the campus for long periods of time
  • Ability to sit, bend, kneel, stand and walk frequently
  • Work Hours: School Year: 10 a.m. - 6:00 p.m.
  • Summer Camp: 7:30 a.m. - 5:30 p.m.
