Position Title: Chief of Staff
Reports to: President
FSLA Classification: Exempt/12-month employee
Office: Grade School & High School Campuses
ESSENTIAL JOB DUTIES
Reporting to the President, the Chief of Staff serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the President. The Chief of Staff also serves as a liaison to the Board of Trustees and senior management team; organizes and coordinates executive outreach and external relations efforts; and oversees special projects. The Chief of Staff must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven and community oriented.
The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Chief of Staff will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
ROLES AND RESPONSIBILITIES
President & Senior Leadership Team
  • Support the President's organization and calendar to free up time for external meetings with parents and donors.
  • Composing and preparing correspondence that is sometimes confidential.
  • Manage team retreats and senior leadership team meetings to take notes, follow up with next steps assigned in check-ins, and support leadership team members with tasks as assigned.
  • Arranging travel plans, itineraries, and agendas.
  • Plans, coordinates and ensures the President's schedule is followed and respected. Provides a "gateway" role, creating win-win situations for direct access to the President's time and office.
  • Provides a bridge for smooth communication between the President's office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
  • Works closely and effectively with the President to keep her well informed of upcoming commitments and responsibilities, following up appropriately.
  • Provides leadership to build relationships crucial to the success of the organization and manages a variety of special projects for the President, some of which may have significant organizational impact.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Organizes and obtains materials for special projects, which may include events for various departments including Philanthropy & Engagement, Alumni, Admissions, and faculty and staff meetings.
  • Send communications to families on behalf of the President of financial aid awards, scholarships, and contracts.
Board of Trustees
  • Serves as the President's administrative liaison to Notre Dame de Sion’s Board of Trustees.
  • Maintains discretion and confidentiality in relationships with all Board members.
  • Adhere to compliance with applicable rules and regulations set in bylaws regarding Board and Board committee matters, including advance distribution of materials before meetings in electronic/paper format.
  • Assist in organization of yearly New Member Board Orientation and Board Retreat. Facilitates meeting organization and communications between incoming Board members with marketing activities.
  • Provides organization, preparation, and executional support of special events New Member Orientation and Yearly Retreat. Duties include; providing required documentation and supplies, ordering refreshments, on-site event organization, event set-up and break-down, and at event support.
  • Responsible for distributing board packets for quarterly meetings.
  • Serves as the archives for board information, maintaining packet information and meeting minutes, making sure information is available when needed.
Human Resources
  • Serves as the main point of contact internally for human resources, working alongside our consultant partners
  • Align with the VP of Finance on annual budgets and budgeting within new compensation model in order to support in recruiting and hiring of all faculty and staff roles
  • Collaborate with outsourced team members to ensure efficient and effective hiring processing; could include support of updating job descriptions, posting jobs both internally and externally, managing Paycor system
  • Onboarding new faculty and staff members, as well as develop a modified onboarding process for key vendors running outsourced teams to ensure mission and culture alignment within the organization
  • Conduct twice annual staff engagement surveys; run analysis on survey results and work to build and maintain staff engagement strategies, which may include staff recognition programs like the Spirit of Sion
  • Ensure staff evaluations and coaching conversations are on pace for new compensation model and support to provide senior leadership team with visibility on progress
  • Conduct exit interviews for staff and faculty members transitioning alongside outsourced partner to share trends and results back to management
Accreditation
  • Support the Chair of the Accreditation Team in preparing for the ISACS review, which may include pulling reports, written responses, and collecting information from team members across all departments and campuses.
  • Handling guest arrangements (hotel, pick-up).
Miscellaneous
  • Running errands (food orders, office supplies, etc. )
  • Special Projects as assigned
Education and Experience Requirements
  • Bachelor’s degree desired.
  • Fit and belief in the Sion mission.
  • Strong work ethic with the ability to multi-task and prioritize in a hectic environment.
  • Experience and interest in internal and external communications, partnership development, and fundraising.
  • Understanding of the confidential nature of fundraising efforts, donor information, and the ability to maintain confidentiality of sensitive information.
  • Understanding of the confidential nature of information received via the Board of Directors and the need to maintain confidentiality.
  • Excellent interpersonal and relationship-building skills to effectively work with a variety of people and personalities.
  • Proficient with Microsoft 365 ( Word, Excel, Power Point, Publisher, Teams), Google Workspace (GMail, Calendar, Slides), Raiser’s Edge, Mailchimp, Adobe Acrobat, and Social Media web platforms
  • Familiar with both Mac OS and Windows operating environments
Physical Requirements & Work Environment
  • Workday regularly includes multiple or conflicting demands, deadlines and pressures
  • May work at desk or computer for extended periods of time
  • Dexterity of hands and fingers to operate computer keyboard
  • Occasionally bend, stoop and squat
  • Lifting and carrying up to 30 lbs.
  • Work primarily in a climate controlled office environment
  • Work intermittently in outside weather conditions
  • Occasionally driving personal vehicle to pick up or deliver supplies
